[Contract Position]

This is a contract position, convertible to a permanent role subject to the performance and divisional requirements.

This role is crucial in ensuring the effective acquisition and delivery of teaching and learning resource materials, while maintaining adherence to governance protocols.

Key Responsibilities:

1. The incumbent will support the management of operational and administrative functions related to procuring and delivering educational resource materials.
2. Responsible for database management and ability to analyze data for management to make informed decisions.
3. Able to work effectively under pressure, managing deadlines and adapting to evolving project requirements.

Inventory Management:

• Manage the inventory and supply of educational learning resources, including curriculum textbooks and e-learning applications/licenses.
• Coordinate distribution of resource materials to students and tutors at our learning centres.
• Ensure accurate resource tracking and management are aligned with timelines.
• Assist with the logistics of packing, shifting, collecting, and handing over deliveries to vendors (physical labour involved).

Procurement and Financial Management:

• Procure educational resources by adhering to Standard Operating Procedures (SOPs) and complying with Financial and Procurement guidelines.
• Demonstrate competence in procurement and supplier management.

Data Management:

• Perform accurate data entry in the Education Management System, regularly updating student and educational resource inventory data.
• Utilize Excel functions, pivot tables, and data visualization tools such as Power BI for data management and analysis.
• Interpret data effectively to provide insights that support informed decision-making processes.

Qualifications:

• Bachelor’s degree in Business Administration, Data Science, Project Management, or a related field
• Proven experience in project management and data analysis.
• Proficiency in Microsoft Excel and Power BI.
• Strong analytical skills with the ability to derive actionable insights from data.
• Excellent verbal and written communication skills.
• Ability to work independently and as part of a team in a fast-paced environment.

Tenure- 6 months (Maternity Cover)

To coordinate and provide suitable and effective teaching and learning resources to students and educators engaged through the Education division’s tuition programmes and closing the learning gaps of students in Primary, Secondary and Tertiary levels.

Responsibilities

● Support in managing operational and administrative matters pertaining to the effective acquisition/ procurement and delivery of teaching and learning materials in accordance to organisational and divisional governance protocols and stipulated timelines

● Ensure data accuracy in the Education Management System and update with current student data

● Support in managing all matters pertaining to communication and correspondences with internal and external stakeholders such as Programme officers, vendors, students and key centre personnel.

● Support in managing the records of e-learning licenses

● Assist with collation of billing records

● Assist in managing the packing, shifting, collection and handover of the deliveries to the vendors

● Adherence to SOPs, Financial and Procurement guidelines

● Participate in Divisional and SINDA-wide events when required

● Any other duties as assigned by RO/ HOD.

Requirements

● Minimum Degree in any discipline

● 2-5 years of working experience in a similar role

● Meticulous, good decision and problem-solving skills

● Good time management skills

● Able to work independently and in a team

● Effective communication and interpersonal skills, including building and sustaining positive relationships with internal and external stakeholders at various levels.

● Proficient in MS PowerPoint and MS Excel for presentations

● Able to perform basic data analysis using Excel/Power BI would be an added advantage

● Knowledge of the Singapore Education landscape is an advantage

● Able to work outdoors

● Flexible to work on weekday evenings and Saturdays

This is a 6- month contract position.
