Web Developer Intern Roles and Responsibilities:

• Improve & automate company's business process through creation of new PHP web applications & improvement of existing code.

Job Description:

Being part of Airbus Asia Training Centre (AATC) Customer Experience team, this customer-facing role encompasses a wide variety of day-to-day tasks with the objective to deliver an excellent customer experience to the pilots performing their flight crew training.

Front Desk operations: 

• Provide welcome and check out on the first and last day of training of the pilots

• First line assistance and support to any customers / visitors entering the premises

Job Description:

Airbus Asia Training Centre (AATC) is looking to hire an administration professional for our Business Operations Department, on a 6-month contract. Responsibilities include overseeing the day-to-day operations in security, procurement and other support functions in ensuring the seamless execution and completion of processes within the department.

Responsibilities

• Administration:

  • Monthly invoice process from suppliers such as telcos, rental of printers, security services

  • Quarterly billing to Satair on security services rendered

  • Yearly IM SLA and any chargeback or project cost by Airbus Helicopters Southeast Asia

  • Ad hoc billing to Airbus Helicopter on maintenance services rendered

  • Forecasting quarterly expenses of IT and security and revenue of ATR Training Centre

  • Communication with Starhub telco for new mobile requirements, mobile distribution to staff and data roaming application as authorized personnel

  • Update and conduct Induction programme to new joiner on Business Operations department. Main objective to ensure new joiners are aware of the assembly point and evacuation routes. 

  • Assist Training Operations team in ordering training materials for operations. 

• Security:

  • Ensuring day to day security operations run smoothly. (E.g. Ensuring sufficient security officers on site, patrolling completed, familiarisation with AATC emergency response plan, all new and reactivation of badge recoded accordingly.)

  • Check customer registration records for any discrepancy or any customers from the sanction country list. 

  • Update and ensures the security procedure manual is up to date

  • Able to operate all security management systems such as Sipass, Siemens CCTV system, iDesign, visitor registration management.

  • Incident management such as incident investigation include CCTV footage extraction, access records extraction.

  • Ordering of badge necessities such as cards, lanyards and card holders

  • Assisting with Satair security services such as any badge enquiries or access investigation required, new badge request, and CCTV footage extraction.

  • Any adhoc duties or projects required

• Shared Services IT support:

  • Work closely with IM Business Relationship Manager to ensure any IT related issues in AATC are being solved promptly and service rendered. 

  • Open communication with different IT teams to ensure any issues occur to follow up closely. Different teams such as the network team, Tech Bar team etc.

  • Administrative processes for invoice from suppliers such as SoftwareONE Deutschland Gmbh, NTC Integration and adhoc

  • Observe and look out for any IT related issues on site or improvement needed. 

  • Support AATC staff in any IT related issue. Issues unable to solve, encouraged to raise ServiceNow ticket or proceed to Tech Bar for assistance. 

• Procurement:

  • To process all Purchase Request from Business Operations staff to Purchase Order

  • Ensure all supporting documents uploaded, PR raised are tally and justified. Any cost differences are to clarify with the requestor. Encourage staff to negotiate with suppliers on price differences.

  • To process New Vendor Requests (KYS). Ensure all documents provided are sufficient before applying to the SMDA team. Once approved, the vendor requests to forward to the finance team for the SAP creation process. 

  • Aging report from finance, to follow up with customers on payment. 

• Duty Manager:

  • To process Duty Manager monthly allowances

  • Ensure all DM processes and information required are provided for their duty. 

  • Conduct quarterly or semi annual meeting to discuss on past experience, process and feedbacks from both DM and staff

  • Open communication between DM and staff to understand both needs and challenges

Your Impact

• Identify training needs and formulate winning strategies for Education across respective markets to support their business needs and objectives.
• Lead and facilitate the regional educators in planning, developing, and implementing strategies and projects.
• Ensure TR & SEA-specific retail excellence with the client-centric approach in all Education programs and activities are executed in line with Makeup FOR EVER’s standards & values.
• Collaborate with and influence the International Edu team to fulfill market needs such as events and training programs.
• Lead Retail Operation Executive SG to ensure the smooth running of store operations to push sellout.

Your Mission 

Strategy Planning & Training 

• Develop and adapt education materials to address the business environment's and customers' needs.  
• Lead and coach educators to implement training programs and strategies.
• Follow up and evaluate the effectiveness of training programs and activities and provide recommendations to markets.
• Design and execute the planned retail & education curriculum, digital learning APP, and grooming guidelines for the retail team to optimize productivity to achieve the overall sell-through objectives.
• Assist educators in planning training calendars and budgets to meet the overall business, sales, and marketing objectives.
• Work with educators to improve the field team’s brand & product knowledge, make-up skills, and selling techniques.
• Plan and deliver training according to market needs – Singapore Local Market and TR-specific training.  
• Maintain a keen understanding of competitors' training trends and best practices.
• Plan for forecast training gifts and testers with educators.

People Development 

• Collaborate with educators & retail team to identify and develop talents to advocate and implement “The Makeup Artist Journey.”
• Provide regular Train-the-Trainer workshops to educators and the retail team.
• Train and provide certification for regional educators and field teams on in-house development programs.
• Map out regional educators’ development with the HQ education team and arrange workshops to elevate skills.
• Motivate and engage the field team by organizing key events, e.g., expert seminars, BA dinners, and contests.

Retail Excellence 

• Design service flow adapted to different market needs.
• Incorporate relevant processes and guidelines into specific training programs to ensure the best service quality and grooming that aligns with the desired brand image.
• Monitor expert grooming standards and implement seasonal makeup looks and attire to promote newness.
• Actively participate in the launch animation planning with the marketing and retail team.
• Gather customer & field team’s product feedback and relay it to marketing for review.
• Work with Marketing & Retail functions to formulate responses and follow up on customer complaints.
• Support HPPs, makeup shows, livestreams, in-store events, or other events sponsored by the brand.

Collaboration & Bridging The Markets 

• To be the face of Education in respective markets & establish good relationships with all the education departments of all TR and market partners.
• Maintain a good relationship with other markets’ education teams, seek opportunities for cross-over projects, and exchange best practices.
• Collaborate with HQ on specific project implementation and adaptation to TR APAC & SEAO markets.

Managing Retail Operations for Sephora SG

Lead and manage Retail Operation Executive, SG to:

1. Ensure smooth running of store operations - sufficient stocks & testers, merchandising, beauty events, in-store activities, and customer loyalty development.
2. Conduct regular check on merchandising and gondola maintenance and provide feedback to the Marketing/VM team
3. support the selling effort.
4. Conduct demos/talks/workshops for consumers during key launch activities
5. Monthly submission of competitors’ launches, promo mechanics, and animation spaces to Marketing.
6. Provide Sephora floor layout when the regional VM team requires such.
7. Commission and duty roster for MUEs in selected Sephora stores.
