The candidate will be primarily responsible for supervising a Team of Finance Executive/ Senior Finance Executive (Payable) in all aspects of payable and related tasks in this process.

Key Responsibilities:

To assist the Finance Manager in the Company’s financial matters by undertaking a portfolio of accounting responsibilities as assigned by the Finance Manager.

• Supervise/provide work direction and review for AP executives
• Review and ensure vendor invoices and employee claims are accurately process
• Ensure vendors (includes intercompany) and Early Payment Discount invoices are process as per the timeline
• GL Coding of sundry invoices and obtaining approvals
• Review of creditor reconciliation and provide course of actions
• Preparations of reports for Global reporting such as but not limited to Cashflow projections and Spending reports
• Working with Finance team to ensure smooth month-end close and compliance
• Ensure the team closely monitor vendor emails, escalate independently for the discrepancies
• Communicate successfully with internal and external stakeholders to ensure smooth payment process
• Drive process improvement within the team, and promote a positive mindset
• Supports internal and external audits (including client audits)
• Manage other ad hoc projects (Operations / Systems / Internal Controls)

Requirements:

• Possess minimum Diploma or higher qualification in Accounting/ Finance or equivalent
• At least 5 years of relevant working experience with at least 2 years of supervisory experience
• Sound understanding of accounting principles and local statutory requirements
• Hands-on, result oriented and able to work both independently as well as part of a team

This position will be based in Singapore and will be part of the Finance Hub team that reports into the Finance Supervisor/Manager.

The candidate will be primarily responsible for the day-to-day management of all payment cycle activities in a timely and efficient manner. The role is to complete payments that include tracking invoices, process, verifying and reconciling trade vendors and intercompany invoices. In addition, the candidate needs to closely track and monitor the PO issued by the client and promptly share to the media team.

Key Responsibilities:

1. Person in charge will be responsible for tracking, and monitoring campaigns against Purchase Order (PO) received.

• To upload Purchase Order (PO) received from the client and share with the media team
• To generate client identifier code for each campaign before the campaign starts

2. Person in charge of the timely tracking and monitoring of trade vendor invoices.

• Correctly sort the trade vendor invoices received for distribution to the correct team
• Ensure timely distribution of trade vendor invoices to media team for validation and return to the finance
• Liaise with internal stakeholders for any missing trade vendor invoices which had been distributed for validation
• Tracking of trade vendor invoices to avoid delay in payment processing
• Person in charge of the timely process of payments.
• Completes payments and controls expenses by receiving, processing, verifying and reconciling vendor invoices
• Process payment through electronic transfer/cheque
• Perform invoice and general ledger data entry

This position will be based in Singapore and will be part of the Billing team that reports to the Financial Controller.

This candidate's role requires effective internal control and ensuring all statutory requirements, corporate guidelines/ governance, and financial regulations. The primarily responsible of this candidate is to lead the billing team to ensure smooth billing operation, continuous process improvements, internal and external audits, client-related reporting and ad hoc projects.

Key Accountabilities:

• Manage and oversee the billing function. Ensure procedures adhere to company policies, statutory requirements, accounting standards and financial regulations while functioning with accuracy and timeliness.
• Manage and ensure the billing team closely monitor the unbilled and WIP account, escalate independently for the discrepancies with the relevant stakeholders.

• Ensure that invoices are generated and sent to the Client based on the Client’s invoicing timelines.
• Where client is a regional / global client that requires centralized billing, to work with other markets in the network to ensure that all supporting documents are in order.

2. AP processing of vendor/supplier invoices

• Check vendor/supplier invoices are within client’s budget/billings and have necessary details needed.
• Key vendor/supplier invoices into the system.
• Ensure proper documentation are submitted to Payment team for any vendor/supplier invoices.

3. Preparation of follow up reports for Assigned Clients

• Responsible for the preparation of any WIP or Billing Report for discussion with Client / Media Teams.
• Responsible for the preparation of media actualization and forex reconciliation reports where applicable and in accordance with Client’s timelines.
• Where client is a regional / global client that requires centralized billing, to maintain a tracker with on time status of the different campaigns / billings / payments.
• Any ad hoc reports as required.
