The Job Role

• Efficiently able to handle post fixtures operations such as negotiating claims and respond timely to e-mails
• Ensuring all claims are properly submitted to Owners / Charterers within timeline
• Liaising with Owners / Charterers to provide dispute resolution and negotiation for settlement
• Will assist to send regular chasers to Owners / Charterers for agreements and responses
• Ensuring all the claims are correctly and accurately updated into the data system
• Generating demurrage reports from the system

Requirements

• 1 year experience or Fresh graduate from the Maritime background
• Good communication and interpersonal skills
• Meticulous, proactive, positive attitude, and willingness to learn
• Proficient in Microsoft Office applications
• Basic understanding of the Charter Party and Shipping Terms

Job Summary:
We are seeking a proactive and detail-oriented Finance Executive to support our financial operations and ensure accuracy in financial reporting. This role involves assisting with accounts payable functions, coordinating audit activities, overseeing cash management processes, and maintaining effective communication with vendors and customers. The ideal candidate will have a solid understanding of financial processes, strong analytical skills, and the ability to thrive in a fast-paced environment.

Reports To: Accountant

Key Responsibilities:

• Save and organize accounts payable (AP) invoices in the GST folder for review, ensuring compliance with regulatory standards.
• Accurately post AP invoices in the financial system to maintain up-to-date records.
• Create and maintain vendor profiles based on Business Partner (BP) forms, ensuring all necessary documentation is collected.
• Assist in audit confirmation processes for customers, preparing required documentation and reporting requirements.
• Manage cash advances/petty cash transactions, ensuring proper documentation and adherence to company policies.
• Update accounts receivable (AR) receipts in the Globe 3 system daily and follow up with relevant stakeholders on accounts receivable to ensure accurate and timely collections.
• Prepare and present weekly bank opening balances, ensuring all transactions are accurately reflected.
• Generate weekly reports on receipts and outstanding accounts receivable, providing insights into cash flow and financial status.
• Book goods receipts into the financial system, ensuring that inventory records are accurately maintained.
• Monitor telecommunications expenses, ensuring accurate billing and identifying opportunities for cost savings.
• Implement controls to manage telecommunication usage effectively.
• Carry out any other tasks as reasonably requested by the Management.

Job Requirements:

• Degree in Finance, Accounting, or a related field.
• Relevant experience in finance or accounting roles
• Proficient in financial software, preferably Globe 3 ERP system.
• Strong communication and interpersonal skills.
• Detail-oriented with a high degree of accuracy in work.

Responsibilities:

• Maintain transactions for Accounts Receivable (AR) and Accounts Payable (AP), including but not limited to processing payments, issuing invoices, staff reimbursements, bank reconciliations, and general ledger entries.
• Prepare and submit GST returns.
• Handle insurance claims related to medical and work injury incidents.
• Manage medical claims, insurance claims, and allowance claims.
• Provide HR administrative and corporate services.
• Oversee staff onboarding and offboarding processes.
• Process various claims, grants, programs, and course applications for employees.
• Update employees' personal information.
• Manage employees' leave and claims.
• Perform any other ad-hoc tasks as assigned.

Requirements:

• Preferably at least 2 years of relevant experience. Prior experience in an accounting and administrative role is an advantage.
• Ability to work independently while being a good team player with strong communication skills.
• Capable of handling multiple duties and responsibilities simultaneously.
• Proficiency in SAGE, Excel, and Word.
• Preferably holding a Certificate or Diploma in Accounting.
