Office Administration
- Overseeing all aspects of facility from building maintenance and upgrades, to stocking snacks, to ordering supplies and all other general operations needed for a smooth-running office.
- Coordinate the repair and maintenance of office equipment eg. Air Con
- Provide assistance to overseas visitors such as hotel reservations / transportation/ invitation and sponsorship letters, etc.
- Assist in travel and visa arrangements of all DSM Firmenich Romer employees
- Point person for general affairs such as building management and contract, car park, vehicle lease, vehicle insurance provider, health insurance provider, government agencies and business processing unit, and 3rd party manpower provider.
- Main person in ensuring implementation of government regulation and other labor requirement.
- Facilitate processing of documents related to business permit.
SHE & Security Administration
- Submit Monthly SHE report.
- Contact person in implementing SHE projects in Romer Labs Ecentre office.
- Implementation of SHE initiatives: travel request form, journey management plan, SHE risk assessment and physical questionnaire.
- Coordinate schedule on security matters such as first aid trainings, fire drill, doctor's talk and fire-fighting trainings.
- Active member of SHE committee.
ICT Support
- Purchase and/or arrange new PC for new employees.
- Set up SAP ID for new employees.
- Termination of SAP ID for resigned employees.
- Point person for any ICT concern of employees.
- Contact person of regional ICT team.
Financial Support
- Assist in year-end reporting and audit.
- Assist in monthly account closing.
- Data entry in system relevant to various area for instance of fixed assets, sales, purchases, payment, and cost/expenses.
- Reconciliation of AP/AR with the statement of account from vendors and customers, as well as bank reconciling for bank book balance with bank statements
- Assist in stock taking and prepare detailed inventory report for month-end closing and ageing reports by divisions, including reconciliation of COGS with GRN and movement of inventory.
- Assist in preparation for GST and Corp tax computation.
- Any other tasks assigned by the supervisor.
Requirements:
- Diploma/ Degree in business, finance or equivalent
