Key accountability (Main purpose of this job):

Reporting to the Senior Finance Manager, this role is responsible for supporting the Finance department in various functions including accounts receivable (managing credit risk and ensuring timely payment from our customer, cashiering and accounts payable.

Responsibilities (Key areas of Responsibilities):

Debt Collection

• Develop and implement effective debt collection measures
• Monitor customer payments and alert the Senior Finance Manager of delinquent accounts
• Liaise with company lawyer/debt collectors to minimize bad debts
• Send reminder letters / make collection calls for overdue accounts

Financial Assistance

• Administer financial assistance schemes through modified instalment plans/bursary
• Attend to extensions requests

Discrepancy Resolution

• Resolve discrepancies related to non-payment of invoices

Reporting and Reconciliation

• Prepare credit-related reports (e.g., weekly debtors aging reports to management during semester fees collection
• Provide weekly forecast collections for cash flow management
• Undertake account reconciliations as required

Others

• Maintain students' billing addresses in the accounting system
• Assist in audits when necessary
• Apply receipts in the accounting system
• Assist with cashiering duties
• Attends to incoming email requests on timely manner
• Issue invoices/credit notes

Requirements:

• Diploma in Accounting or equivalent
• 2 years of relevant working experience but fresh graduates who are highly motivated and autonomous are encouraged to apply
• Advanced proficiency in Google Workspace
• Accurate and meticulous with excellent attention to details
• A team player with good interpersonal and communication skills
• Ability to work independently and diligently
• Able to work effectively and efficiently under pressure and within timelines
• Strong problem solving and multitasking skills
• Ability to remain firm and maintain high ethical standards

Position Overview:

We are seeking a detail-oriented and analytical Finance Personnel to join our finance team. The ideal candidate will be responsible for managing financial transactions, preparing reports, and assisting with budget management. This role is essential for maintaining the financial health of our organization. He/She will play a crucial part in maintaining our robust accounting practices and ensuring the smooth running of our finance operations.

Key Responsibilities:

• Process and manage accounts payable and receivable.
• Prepare monthly, quarterly, and annual financial reports for management reporting and statutory compliance.
• Preparation of budgets and forecasts.
• Conduct financial analysis to identify trends and variances.
• Support audits by providing necessary documentation and explanations.
• Collaborate with other departments to ensure accurate financial reporting.
• Assist in the development and implementation of financial procedures and controls
• Reconcile bank statements
• Handle monthly bank reconciliation within the Group
• Maintain accurate and up-to-date financial records and documentation
• Handle and process payments.
• Prepare and submit Quarterly GST submissions.
• Reconcile Banks statement of accounts.
• Coordinate with external auditors/tax agents/corporate secretary etc
• Perform other related duties as assigned

Finance & Accounting (70%)

Orders-to-cash:

· Capture all sales invoices and process cash receipts from customers in Quickbooks.

· Send monthly Statement of Accounts to customers after month-end close.

Purchase-to-pay:

· Ensure all supplier invoices are coded & matched to Purchase Orders after goods receiving (where appropriate), and record supplier invoices in Quickbooks.

· Prepare payments to suppliers via UOB online banking, and record payments in QuickBooks.

Others:

· Prepare monthly bank reconciliations.

· Support preparation of quarterly GST report.

· Responsible for managing the Petty Cash Fund.

· Other ad hoc admin duties.

HR Functions (25%)

· Coordinate recruitment, job posting, screening of applicants, interview scheduling.

· Ensure pre-employment requirements are fulfilled for new hires.

· Process application and renewal of Work Permits, Employment Pass and S-Pass for foreign employees.

· Liaise with the Ministry of Manpower and ensure company is in full compliance with MOM laws and other requirements.

· Liaise with the Insurance agent for inclusion of new hires in company’s health insurance and assist in employee’s insurance claims (where required).

Admin (5%)

· Support management in renewal of office insurance and work compensation injury policy.

· Ensure the availability of first-aid kit and medication for employees and coordinate any inspections by MOM.

· Replenishment of pantry & office supplies

· Support preparation of Finance / Accounting Reports

Qualifications:

· Degree in Accounting or equivalent

· Proficient in QuickBooks accounting system, and/or exposure to ERP system processes (eg. Odoo, Netsuite).

· Strong skills in MS Excel ad MS Word.

· Working knowledge of HR Administration and MOM laws in Singapore will be advantageous.

· Minimum work experience for at least 4 - 6 years.

· Team player with a ‘can do’ attitude.
