Position Overview:
We are seeking an experienced and highly organized Personal Assistant to support a senior executive in the finance industry. The ideal candidate will serve as a trusted partner, providing comprehensive administrative and organizational support to enable the executive to focus on strategic priorities. This role requires exceptional discretion, proactive problem-solving skills, and the ability to thrive in a fast-paced, high-pressure environment.
Key Responsibilities:
- Executive Support:Manage the executive’s complex calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize materials for meetings, presentations, and reports.
Act as the first point of contact for internal and external stakeholders.
- Communication Management:Draft, review, and edit correspondence, emails, and other communications.
Manage and prioritize incoming communication, ensuring timely responses.
- Travel Coordination:Plan and arrange domestic and international travel, including visas, accommodation, and itineraries.
Ensure travel plans align with business objectives and personal preferences.
- Administrative Oversight:Maintain and organize confidential files, records, and documentation.
Monitor and manage expense reports and budgets related to the executive’s activities.
- Project Management:Assist in coordinating special projects and initiatives within the finance organization.
Track progress on key tasks and ensure deadlines are met.
- Personal Assistance:Handle personal tasks for the executive, such as managing appointments, errands, and personal schedule coordination.
Ensure a seamless integration between professional and personal commitments.
Requirements:
- Education and Experience:Bachelor’s degree or equivalent professional experience.
Minimum 5+ years of experience as a Personal or Executive Assistant, preferably in the finance or corporate sector.
- Skills and Competencies:Strong organizational and multitasking abilities with excellent attention to detail.
Exceptional written and verbal communication skills in English (additional languages a plus).
Proficiency in Microsoft Office Suite and other relevant software (e.g., scheduling and collaboration tools).
Ability to handle sensitive information with absolute confidentiality and professionalism.
- Personal Attributes:High level of adaptability and problem-solving skills.
Proactive, self-motivated, and able to work independently under tight deadlines.
Strong interpersonal skills with the ability to liaise effectively with diverse stakeholders.
- Additional Requirements:Familiarity with the finance industry and related terminology is a strong advantage.
Flexibility to work outside of standard hours when necessary.
Willingness to travel occasionally to support the executive.
