Job Description

We are looking for a self-motivated Finance and HR Executive. You have the chance to be one of our core team to implement systems and procedures to corporatise our business

Our business includes a retail segment with 2 retail chains selling fast moving consumer goods and religious products, a property rental segment and a direct selling segment

Responsibilities:

Accounting, General Admin Functions

• Responsible for the full set accounts and day-to-day accounting
• Perform bookkeeping general ledger, AP, cash management, and bank reconciliation
• Ensure all accounting records are kept up-to-date and maintained promptly and accurately
• Handle all regulatory submissions including GST returns
• Process payments to suppliers
• Liaise with the external auditor and tax agents
• Report to the Directors and handle ad-hoc assignments

HR Functions

• Responsible for full spectrum of HR function
• Responsible in payroll process, claims expenses, and other related matters
• Manage recruitment cycle including sourcing, arrange for interview, and salary proposal
• Process Work pass application, renewable and cancellation
• Coordinate with insurance agents with regards to cancellation, renewal, new coverage of insurances

Requirements:

• ACCA/Diploma in Accounting or equivalent with 2 years of relevant work experience
• Possess knowledge in GST, Local Tax Regulations, and Singapore Financial Reporting Standards (FRS)
• Self -motivated. well organized, meticulous, and able to multi-task
• Ability to converse and liaise with external English and Chinese speaking vendors and suppliers

• Extract SAP data post month-end closing and prepare accurate and timely monthly project reports and income statements for business unit, facilitating insightful reviews and forecast updates.
• Reconcile and consolidate monthly income statements rolling forecasts for business unit, ensuring compliance with Group deadlines, and fostering a culture of financial accuracy.
• Collaborate with Operations team to consolidate order book analysis for management reporting.
• Coordinate with other finance team to provide monthly sales delivery from orderbook backlog.
• Liaise with project managers and support business units in tracking project cash flows, and consolidating monthly cash flow forecasts to facilitate decision making in effective foreign currency management.
• Assist in the preparation and uploading of business unit annual budgets and 5-year plans, building up templates and extracting data from Hyperion to consolidate financial forecasts and budgets.
• Provide operational support for overseas project office, ensuring the accuracy and completeness of vendor-related data during the Goods Receipts process by Operations.
• Liaise closely with overseas bookkeeping firm to ensure timely and accurate receipt of payment advice, journals, and supporting documents before payment is processed.
• Prepare online payments and coordinate with authorizers to ensure timely payments processed by the bank.
• Be prepared to undertake any other ad-hoc duties assigned by the Manager, displaying flexibility, adaptability, and a collaborative spirit.

Requirements

• Diploma/degree in Accounting or Finance
• 3 - 5 years of relevant work experience
• Proficient in Excel, SAP and Hyperion
• Experience in project accounting would be advantageous
• Attention to details, diligent and possess positive attitude
• Ability to work independently with minimal supervision

Finance Executive

Responsibilities:

From beginning

- Accounts Receivables: billing to clients in accordance to contract

- Account Payables: in charge of verifying all A/P entries, ensuring absolute accuracy

- Provide treasury support and preparing outgoing payables /providing payment advice

- Manage customer and vendor balance reconciliation and follow-up with internal stakeholders and external vendors

- Ensure journal vouchers are maintained and filed accurately

- Preparation of Daily and Monthly Bank Reconciliation

- Check accuracy of expense claims of staff

- Assist in preparing GST Report and filing of Withholding Tax

- Assist with Annual Audit

With the right training and support, the candidate will be expanded to the below scope of work

- Balance sheet reconciliations and in-depth knowledge of SAP

- Preparation of annual tax report and GST and other tax affairs

- Preparation of monthly cash flow, management report and quarterly report

- Will be trained for the monthly closing and forecast

- Regional exposure to SEAO (8 countries)

- Other ad-hoc finance reports and assignments when necessary.

Requirements:

• A diploma in Accounting/Business, with a passion for accounting

• Minimum 3-5 years of working experience, with proven operational excellence record

• Candidate must be a Singaporean/PR with local accounting practice and knowledge

• Working knowledge of SAP is highly advantageous

• Experience working for MNCs with dynamic ERP system

• Experience in advertising business or service industry is preferred.

• Demonstrated proficiency in written and verbal communications skills in English

Deliverables/Business Partnering 

• Work closely with regional, local, JV & HQ teams and develop excellent knowledge of KENZO SEA local markets operating environments  

• Operational tasks including order processing, monthly closing, periodic sales performance, etc 

• Deliver timely, accurate & qualitative communication of Kenzo SG books and business performance 

• Support consolidation, analysis, and reporting of the brands’ performance.  

Actuals 

• Maintain day to day operation of the brand. 

• Analyze overall delivery of company financial targets on a regular basis & report to the business with recommendations as necessary including P&Ls and Cash flow drivers (stocks, capex, etc.) 

• Assist to analyze the business risk and preparation of back-up plan for business target achievement 

• Prepare monthly analysis of the main Key performance indicators (sales, P&L, DOI, Stock in trade, Capex..) in accordance with brand management needs 

• Handle local reports requested by the regional and HQ teams 

Forecasts (Budget, Revision, Landing, …) 

• Prepare budget and revisions in accordance with parent company requirements and timetable, working with the local management and finance teams to gather information in a timely and accurate way 

• Maintain cost control responsibility; provide relevant reports and rationale, with recommended action plans to the business for tight budget control  

• Support the brand in preparing the 3 years long-term strategy plan 

Ad hoc Analyses & Projects 

• Prepare/review the investments requests 

• Provide analytical support to cross-function initiatives and ad hoc projects 

• Participate in new markets opening preparation, simulations and operations 

• Continually seek to improve processing efficiency and accounting/controlling capabilities of the company 

• Participate in the implementation of finance / IT projects for the accounting/controlling functions 

• Reinforce internal control requirements and implement procedures as necessary.  

Job Description
