Specific Responsibilities (Finance Related)

• Develop and maintain financial analysis and reporting activities for the company. Maintain all financial records and files as per accounting standards required in Singapore & Malaysia (consulting our local corporate secretary).
• Prepare finance reports and account reconciliation reports on a periodic basis.
• Ensure maintenance of the general ledgers in SGD and MYR.
• Prepare tax documents for timely filing of company tax in our Singapore & Malaysia entities with our corporate secretaries.
• Manage account payable and receivable activities.
• Support the annual financial audit processes through the preparation of standard reports as well as other custom reports as requested together with our corporate secretary.
• Administer all payroll activities as well as oversee vendor payments etc via PayBoy, Stripe, Xero & PayPal.
• Reconcile monthly general ledger balance, invoices and claims via our payroll software.
• Assist management in contract administration for vendors, partner organisations, instructors and students.
• Assist management in financial modelling and analysis for strategic planning.
• Identify and resolve invoicing issues, accounting discrepancies and other financial related issues.

Specific Responsibilities (Operations Related)

• Coordinate and manage end-to-end operations for training programs, including scheduling, venue arrangements, and material preparation.
• Stationed at client premise on-site for a period of time for program execution with transport and food allowance.
• Optimise onboarding processes for workshops and programs to ensure a seamless participant experience.
• Use automation tools like Zapier and ChatGPT to improve workflow and service delivery.
• Prepare and organise detailed notes with AI tools
• Update our student guide and onboarding emails
• Provide customer or client servicing support via text or email, ensuring prompt resolution of queries.
• Register participants and submit necessary paperwork for SkillsFuture and HRDF claims.
• Oversee logistical arrangements, including delivery and setup of training materials and equipment.
• Ensure lesson materials are printed and sent to local/overseas post.
• Send timely updates and reminders to participants about schedules, materials, and evaluations
• Assist in tracking program budgets, stationery and ensuring cost-effective use of resources.

About the Role:

As a CBRE Contract Support Associate, you will provide exceptional customer service and administrative support to a large Business Unit, Facility, or Account. This job is part of the Contract Quality Management job function. They are responsible for managing the delivery of contractual services to ensure requirements are fulfilled.

What You’ll Do:

• Respond to client inquiries and concerns and ensure timely and quality service delivery and follow-up to ensure satisfaction.

What You’ll Need:

• High School Diploma or GED with 3-4 years of job-related experience.
• A comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function is required.

• In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

Duties:

• Perform daily accounting & finance duties including receivables and payables processes, general ledger, tax and bank reconciliation, etc.

· To check on settlement with bank receipt.

Expenses & Payment Cycle including:

· To check and review suppliers’ invoices and statement of Account;

Quarterly closing of financials and GST return including

· To prepare financial statements including monthly bank reconciliation, notes to accounts and financial highlights (for exception).

3. Taxation

· Provision of tax computation including submission of Estimated Chargeable Income and yearly Tax Return;

Donation Processing and Review

• Peruse the bank statements and identify donations received for recording in Donation Management System (DMS). To liase with the relevant parties to obtain necessary information for recording purpose (e.g. through fundraising department or liase with donors).
• Check monthly GIRO instruction file prepared by associates and upload to bank portal.
• Review records entered by associates in the DMS for donations received through various platforms and collection modes.
• Prepare monthly accounting entries relating to donations in MS BC.
• Perform monthly reconciliation of (i) recurring credit card deductions between actual amount received in bank and DMS records; and (ii) donation records between DMS and our accounting system (i.e. MS Business Central 365).
• Maintain project codes, payment mode, donation source in DMS, including creating new codes and deactivating unused codes.
• Oversee the donation mailbox to ensure that mails are followed up.
• Issue and safekeep keys and locks for donation boxes.
• Handle donor's enquiries relating to collections and tax deductible receipts.
• Prepare the annual donation data for IRAS submission.
• Liaise with Compliance officers and external auditors on audits relating to donations.
• Ensure smooth running of DMS for recording of donations. Address day-to-day issues with IT and vendor.

Other AR functions

• Collect & bank-in cash & cheques received through mail opening and our service centres.
• Prepare and submit statements for application of fundraising license and matching donations from funding agencies.
• Perform quarterly variance analysis of donation income for all departments and service centres.
• Prepare annual budget (including variance explanations) and upload approved budget onto MS Business Central 365.
• Liaise with HR/fundraising department on mail opening matters.
• Any ad-hoc duties as assigned by reporting officer or head of department.
