JOB DESCRIPTION SUMMARY
Job Overview:
To support our growing business, we are now looking for an Operations and Finance Executive (Administrative). The successful candidate will report to our global Operations and Finance Director to support a global team of consultants delivering professional advisory services across the aviation and aerospace value chain.
Job Responsibilities:
The Operations and Finance Executive (Administrative) is expected to:
- Support the company’s global Operations and Finance Director, and Operations Leader and Finance Leader in the administration and advancement of the company:
- Operations: preparation of routine reports; management of business, IT and other subscriptions and systems; employee visa matters; employee onboarding/offboarding; training; compliance; company processes; etc.
- Finance: invoice preparation and distribution; preparation of routine reports; record keeping and correspondence with outside accountants; accounts payable and accounts receivable; financial analysis and reporting; tax coordination; payroll; intercompany invoicing; etc.
- Leads and project management: Perform tasks to setup and close out consulting projects, including processes in our CRM system, SharePoint and other IT systems
- Assist in the execution of company strategic initiatives and other on-going company processes (e.g., marketing, recruitment, contracting, scheduling, etc.);
- Proactively anticipate and solve problems; and
- Perform other logistical, administrative, or other tasks, as directed by company management.
QUALIFICATIONS
Qualities:
- Superior organizational skills, flexibility managing multiple priorities, working to changing deadlines and attention to detail;
- Dynamic self-starter who shows initiative by seeking out and taking on responsibilities beyond the job description;
- Analytical mindset with strong problem-solving skills;
- High degree of proficiency in Microsoft Office suite;
- Familiarity with financial and bookkeeping concepts;
- Able to work precisely and productively under pressure and tight deadlines;
- Desire to work in a multicultural, diverse, and team-oriented environment;
- Excellent verbal and written English communication skills; professional level proficiency in Mandarin and/or Japanese are positive.
Educational Background:
Undergraduate degree in a relevant field is strongly preferred.
Working Experience:
Three (3)+ years of relevant working experience in a professional services office environment.
