Food & Beverage Guest Services Officer

Summary of Responsibilities:

The main responsibilities and tasks of this position are as listed below, but not limited to these:

• Check the table setting, cleanliness and side station preparation as per work station assigned prior to start of operation hour on each meal period
• Greet and farewell guests in a friendly, courteous manner
• Offer menu options, offer menu advice and take orders
• Serve food in efficient manner
• Operate and use POS
• Look for ways to upsell and add value
• Act professionally when dealing with guest complaints or problems, and keep manager or immediate superior informed on all matters
• Accuracy in order taking, timeliness in pickup and delivery of menu items
• Cleanliness and work safety in food preparation and service areas
• Perform or assist in the Hosting and Bartender duties whenever is required
• Perform opening shift and closing shift duties as assigned

Qualifications:

• No F&B service experience is required
• Minimum GCE ‘O’ level education
• Read, write, speak English fluently

We are seeking a detail-oriented and highly organized Accounts Payable and General Ledger Specialist to join our Finance team. The successful candidate will be responsible for managing all aspects of accounts payable and maintaining the general ledger to ensure accuracy and compliance with our financial policies.

Accounts Payable

• Perform 3 way match of vendor invoices, debit note & credit note against Purchase Order and Delivery Order. Investigate differences if 3 way match fails.
• Posting of vendor invoices into accounting system
• Checking of external service engineer OT claims prior to submission to recruitment agency for invoice issuance to the Company
• Generate AP aging report. Reconcile of AP and subledger of GL.
• Maintain records of vendor account and perform SOA reconciliation to ensure liabilities are fully taken up
• Perform bi-monthly intercompany reconciliation (AR and AP) via excel file upload to Intercompany Reconciliation Tool
• Check of employee expense claim ensuring adherence to expense policy and posting of expense claim
• Preparation of monthly payment runs (GIRO, TT, netting, cheque) in accordance with the payment calendar and requesting for bank authorizers approval.
• Review and update AP policy in accordance with the changes in Group Central Directive.
• Checking of vendor account creation in accounting system (4 eye principle check)
• Creation of customer account in accounting system
• Perform various internal controls in accordance with Group & Company’s policy

General Ledger

• Preparation and posting of recurring and adhoc journal entries
• Posting of fixed assets depreciation and direct debit deduction from bank account.
• Perform bank reconciliation and PO clearing account
• Maintenance of Fixed Assets Register and perform physical fixed assets sighting and obtain confirmation from the HODs.
• Preparation and updating of monthly Balance Sheet Reconciliation Schedules (including Fixed Assets Register) with understanding of the transactions in the schedule
• Follow up on long outstanding transactions in the Balance Sheet Reconciliation Schedules
• Preparation and submission of monthly cash flow forecast & liquidity report
• Preparation of department expense (“COO”) report to HODs
• Support quarterly GST filing (AP side)
• Adhoc stock adjustments
• Update foreign exchange rate
• Support with quarterly and year end preparation of group reporting package
• Support project job costing including:

1. Creating & re-opening of jobs
2. Closing completed jobs at month end
3. Generating & posting of engineer’s timesheet
4. Updating maintenance jobs in service timesheet template
5. Generating job costing reports at month end
6. Preparing monthly maintenance report.

The position is responsible for ensuring that accurate processing and reconciliation on the credit card payments and adjustment into Property Management System (PMS) and to assist Credit Manager in maintaining the proper accounts receivable procedures within the hotel in accordance with local and corporate policies and procedures.

Primary Responsibilities

Accounts Receivable and Credit Section

• To sort the daily paperwork according to the outlet cashier shift close report and pass on the paperwork to the respective colleague from AR and Income audit.
• To key in the credit card transactions base on credit card type onto the excel provided. To resolve the variance of credit card transaction on the same day if there is any variance arise.
• To save all the credit card reports from Adyen portal (Acquirer) on daily basis.
• Ensure that all credit card transactions are verified for completeness and the accounts formally reconciled on a daily basis.
• Calculate and accurately post commissions.
• Promptly investigate all credit card disputes, liaising with the Front Office and the banks.
• Collate all necessary paperwork to justify credit card refunds and obtain sign off from the management before refunds can be processed.
• Assist Credit Manager on any billing reconciliation such as GrabandGo and Klook.
• Assist in any adhoc requirement.
• Ensure that all hotel systems and internal controls related to accounts receivable section are adhered to.

The Security Officer delivers the safety and security measures that meet the requirement of the

Hotel Management.

Primary Responsibilities

Manages The Control Room

• Verifies all visitors, guests and contractors of their visit and issue pass to them after verifications.
• Records and issues departmental keys to the colleagues after verification. Acknowledges and records when the keys are returned.
• Reports and documents all incidents in the Security Management Occurrence log.
• Answers to all telephone enquiries in a calm and professionally manner.
• Records and takes pictures of all Loss and Found items surrender by colleagues or others in the “Case Property” form and thereafter to hand over to Housekeeping if there is no claimant.
• Responds to the fire alarm bell activation and activates the CERT members, Decam (Decentralized Alarm Monitoring Station), Hotel Telephone Operator and raised the Fire Alarm Bell Activation Report thereafter.
• Assists in the evacuation when the need arises.
• Assists in managing the Electronic Parking System for the Carpark, including printing the Daily Revenue Report and Settlement Report daily.
• Any other duties assigned by the Security Supervisors and Managers.
• Prepares to assume the role of a CERT member when the need arises.

Carries Out Static Duties

• Ensures a peaceful environment, greets guest coming/going out of the hotel, to report and take action if there is a disturbance.
• Ensures orderly traffic flow, advises drivers of unauthorised parking to park at designated car park and to report and take action if there is disturbance.
• Conducts checks on unauthorised parking, advise the driver to park in designated car parks, to report and take action if there is disturbance.
• Ensures only authorised contractors or supplier’s vehicles is allow to park in the loading bay.
• Ensures smooth traffic movements in the loading bay.
• Ensures the vehicles are parked in an assigned parking lot.
• Ensures no obstruction cause to other vehicles using the loading bay.
• Verifies the identities of all contractors/workers using the loading bay.
• Responds to any emergencies within 3 minutes or less.

Patrols The Hotel Grounds And Buildings

• Residence patrolling for crime prevention and to report of any incidents, disputes disturbances or found properties left unattended.
• Perimeter patrolling to ensure that the hotel’s exterior walls are not vandalised or damaged, ensures the street lamps are in working condition.
• Raffles Arcade Blocks patrolling for crime prevention, providing assistances or enquires from City guests or members of the public.
• Responds to any emergencies within 3 minutes or less.

Involvement As A Member Of The Security Team

• Provides security escorts for finance department to the bank.
• Witnessing for colleagues depositing sales proceeds at finance department.
• Crowd Control Duty during major events or VVIP visits.
• Prepare to assume the role of the CERT members and First Aider.
