The primary objective of this role is to provide Health, Safety & Security (HSS) specialist services to our local offices and activities in APAC and to provide support to the global Head of Workplace Risk and Compliance.

The HSS Specialist will implement programs to manage HSS risk as well as meeting or exceeding local relevant regulatory requirements. They will provide technical expertise in multiple HSS disciplines and serve as an effective member of cross-functional project teams and office expansions by providing guidance on all HSS matters in design, risk assessment and incident investigation. 

Your Mission:

• Ensuring HSS compliance in the Wise APAC locations and being a core member of the Wise HSS internal audit team.

• Serving as the technical resource for HSS by providing regulatory guidance, training, and operational consultation to internal partners and external stakeholders.

• Supporting the Wise Head of Workplace Risk and Compliance to implement policies, procedures and projects at a global level.

• Implementing proactive programs to reduce injuries and illnesses and being accountable for HSS risk assessments in the APAC region.

• Providing HSS support and guidance to regional managers.

• Supporting and assisting the wider Workplace Team in the accomplishment of plans, objectives and agreed targets.

• Monitoring HSS performance in the APAC region and providing reports at site and country level.

• Acting as a core member of the Workplace Incident management team and responding to crisis and emergency situations relating to colleagues’ physical safety or security.

• Assisting Workplace Business Continuity Management (BCM) teams to respond to emergencies by providing specialist advice and assistance on all aspects of HSS.

• Supporting the development of Wise sustainability reports and participating in the ESG committee where appropriate.

• You will support the SFM & Bistro TL & Manager in the administration and operation of the Swedish Food Market and Swedish Bistro
• You ensure efficient operations of your section with special attention to the preparation and serving of food that enhance visitor experience.
• You look into customers’ concern in our food and services and provide solutions and corrective actions of necessary.
• Assist SFM & Bistro TL & Manager on goods supply forecast, stock controls and ensure proper cash handling procedures in accordance to the IKEA Safety & Security Risk Manual.
• Constantly follow up on the quality and food safety regulations and ensure a safe working environment for co-workers/ customers in accordance with all local health and safety regulations, operational and HACCP standards.
• You must check, verify and confirm the receipt of goods and to ensure quantity received matches the quantity invoiced by the supplier /prices invoiced by suppliers matches prices in our Purchase Orders.
• To ensure goods received from suppliers are stored in a First Expire First Out (FEFO) manner with date of delivery indicated on the package and supplier invoices and/or delivery orders are in place upon delivery of goods.
• You will need to co-ordinate with Team leader, managers & admin staff in resolving issues related to delivery of goods including quantity, pricing and quality.
• You support cost control by assist in materials requisitions, purchases and prepare reports for resource forecast and inventory management.

**This is a 9-month fixed term contract to cover a temporary maternity leave, with the expected duration from February to October 2025.

We're searching for a mid-level Payroll & Benefits Specialist to join our team on a 9-month fixed-term contract (February through October 2025) to cover maternity leave. As a Payroll & Benefits Specialist, you will carry out the activities relating to the company payroll, benefits and employee of record (EOR). You will be responsible for timely and accurate payroll data to include the complete processing of the payroll systems for all employees in Australia, Malaysia and Singapore. Also, you will be responsible for benefits enrollment and paperwork which includes auditing/ verifying invoices for all benefits vendors, and also will be the bridge between EOR vendors and the local/ regional HR and finance personnel. 

Key Responsibilities

Payroll:

• Verifying timesheets for casual employees in Deputy (For Australia)
• Administering employee information to ADP for payroll processing
• Liaising with ADP representative on payroll changes
• Reviewing of payroll reports generated by ADP
• Work with Finance to process salary payment to employees
• Ensure proper withholding and remittance to appropriate agencies. 
• Prepare and submit monthly payroll journals for all entities to Finance Team
• Prepare required monthly, bi-annual and annual tax reports for tax submission
• Work with HR Generalist in attending to payroll related queries
• Assist with annual audits ensuring relevant HR and payroll data provided in a timely manner
• Implement and maintain payroll best practices to improve efficiency and consult with Local/Regional HR Generalists to improve payroll processes. 

Benefits:

• Recommends benefits programs to management by studying employee requirements, trends, and developments in benefits offered by other organizations while ensuring compliance with federal, state, and local legal requirements
• Supports management’s decision-making process by analyzing benefit options and predicting future costs.
• Identifies benefit options by studying programs and obtaining advice from consultants.
• Informs employees of benefit usage by preparing and distributing benefit reports.
• Administer all employee benefit programs including enrollments and terminations.    

EOR Management:

• Assist to bridge communication between Deel and HR Team in APJ
• Forwarding Deel monthly invoice to HR Generalist for verification and Finance to process payment
• Assist employees to expedite enquiries on Deel related issues and follow up to ensure closure in enquiry raised
• Support other regions on Deel matters when required
• Liaise with ATA on employment matters such as work pass renewal and salary matters for Foreign Employees in Thailand
• Verify ATA invoices for salary processing

Special Projects:

• Supports regional and global payroll projects to enhance payroll service delivery and improved employee experience
• Support HR special projects, such as benefits benchmarking exercises and implementation of benefits for EOR employees
• Support the roll-out and transition of ADP to new payroll service provider

What You Need:

• 3-5 years of experience in payroll processing, including handling casual employee payroll systems (Deputy) and using payroll software (preferably ADP).
• Strong understanding of tax compliance, payroll reporting, and processing salary payments, with experience preparing tax reports and working with Finance teams.
• 2-3 years of experience administering employee benefits programs, including enrollments, terminations, and ensuring compliance with legal requirements.
• Familiarity with managing Employer of Record (EOR) services, including liaising with providers like Deel and handling international employment matters.
• Proven ability to support payroll and HR projects, including system transitions and benefits implementation.
• Strong attention to detail, excellent communication skills, and the ability to collaborate across teams (HR, Finance, external providers).
• Proficient in Microsoft Office Suite (Excel, Word) and experienced with HRIS and payroll systems.
