We, at Tay Dental Surgery, seek an administrative assistant to join our fast-moving, highly congenial workplace. The ideal candidate is efficient, detail-oriented, and skilled in developing and maintaining workplace and customer relationships.

Tay Dental Surgery is located within Bukit Timah Plaza. We have been at this location for 26 years. We have 7 dentists, 3 of whom are specialists.

The job description of the administrative assistant are as follows:

• Provides administrative support to ensure efficient office operations.
• Maintains physical and digital filing systems.
• Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
• Responds to emails and other digital queries and correspondence.
• Drafts and edits letters, reports, and other documents.
• Inputs and updates information in databases and spreadsheets.
• Uses word processing and presentation software to create and edit documents.
• Operates and maintains clinic and office equipment, including digital scanner, imaging machines, compressors, autoclaves, dental units, airconditioners, printers, copiers, and fax machines.
• Works with maintenance staff and outside vendors to ensure clinic and office equipment is in good working order and office supplies are always on hand.
• Researches as requested and compiles and summarizes information for reports or presentations.
• Works closely with other administrative staff and supports other colleagues as needed.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• Ensures that deadlines are met and adapts to changing priorities.
• Presents a positive and professional image for the organization.

Responsibilities include (but are not limited to):

• Assessing, diagnosing, and treating patients with a range of conditions, focused on back and neck pain, sports injuries and post surgical rehabilitation
• Developing and Implementing customised treatment plans for patients
• Communicate effectively with patients and other professionals regarding treatment plans
• Keeping accurate patient records in Clinic Management Software system
• Staying up to date with latest research and developments in physiotherapy
• Maintaining registration with the AHPC in Singapore
• Work with other professionals to develop novel clinical pathways for patients.

Requirements

Education/Licensing

• Minimum Requirement: Bachelor’s degree in physiotherapy
• Preferred: Additional licensing certificates for specialised treatment or subspecialty interest certification
• Full registration with the Allied Health Professions Council in Singapore

Experience

• Preferred: 2-3 years and more as a physiotherapist in own practice/hospital/medical centre

Skills

• Computer Literacy (Word, Excel, Office) and ability to learn new system
• Experience with Computer based Hospital or Clinic Management Systems will be preferred.

Responsibilities/Duties

• Provide personalised beauty consultations to clients, understanding their needs and preferences.
• Recommend and demonstrate skincare and products to customers.
• Offer expert advice on skincare routines, application techniques, and beauty products.

• Supervising a team of retail assistants to ensure smooth operation
• Responsible for the sales of your category of products
• Handle inventory management, housekeeping and merchandising
• Demonstrate outstanding customer service and selling skills, keeping the selling floor stocked with merchandise, assisting in display of merchandise or organizing the selling floor and stock areas.
• Process payments by totaling purchases; processing cash or other credit cards
• Must also be able to deal with customer refunds courteously and professionally

Requirement:

Willing to work on roster based on retail hours.

Working hours:

• 6 days roster based (retail hour 10am to 10pm)
• 1 weekday off

Full Time | Fresh/entry level | 1 year experience | Salary + CPF + Good Performance Bonus

Working hours: 9 am to 5.30 pm Weekdays only

Medpro has a medical supplies showroom in Bukit Batok Midview Building (Inside the Industrial Building @ Level3, 7 bus stops away from Bukit Batok MRT and Clementi MRT)

• Main Jobscope to focus on: Submit Quotations, do delivery notes, invoices and submit purchase orders according to standard procedures
• Pro-active in learning the usage of all products -Training will be provided
• Have good knowledge of all Medpro products after training
• Call customer to get information and arrange product delivery
• Respond promptly, handle and resolve customer complaints
• Process and fulfill online and offline phone orders
• Keep proper filing and record of documents
• Plan and organize daily workflow for the delivery team to meet the delivery time frame
• Support, communicate, and coordinate with the team on work processes
• Do Ad-hoc work such as packing of e-commerce orders and attending to walk-in customers, use POS cashiering service when needed
