Job Responsibilities
- Reporting to the HR Manager of C&B, he/she will assist in compensation & benefits, HR administration and HRIS systems matters
- Ensure that employee records, organization charts and system integrity are maintained and updated in the HRIS system
- Provide support in employee benefits claims and leave administration. Administer and track online Government-paid claims submission.
- Assist in preparation of various HR management reports, MOM surveys and presentations
- Assist in planning and organizing of company events and festive celebrations
- Oversee and manage the ESD apparels (smocks, shoes, heel strap and scarf), lockers and mask vending machine, ART kits and assist employees with their requests
- Oversee the e-Attendance module in the HR system, e.g. changes in the setup for approvals, reject outstanding records not approved after cutoff dates.Check and ensure pending attendance records and OT authorization submission are approved in the e-Attendance before payroll cutoff for 2 Plants (Chai Chee & Penjuru).
Manage the clocking machines for both Chai Chee and Penjuru plant.
Check all adjustments to Time and Attendance records raised for amendment
Generate the reports for odd clocking and absent without leave (AWOL) by each calendar month close. Submit weekly metric report for both plants.
Prepare the required monthly work hours report
- Update HR company policies, SOPs and guidelines as required.
- Assist in processing and tracking of invoices and payment status
- Assist in User Acceptance Testing in HR system upgrades and provision of user requirements to system vendor.
- Provide support during audits
- Streamline HR processes and procedures, not limited to only C&B matters, and participate in Lean Six Sigma projects.
- Any other HR projects or duties as assigned
Job Requirements
- Degree/Diploma in Business Administration or HR related discipline
- Job holder without the academic qualification but with relevant experience and proven track records may also be considered.
- Preferably with at least 2 years of relevant experience in manufacturing industry.
- Highly meticulous, hands on and able to multitask and work under pressure in a dynamic environment
- Proactive, able to work independently, resourceful and analytical, good at problem-solving and in recommending feasible solutions
- Good knowledge of local legislative requirements and compliance and able to keep abreast of market trends
- Preferably with hands-on experience in systems such as Prosoft, Flex and Oracle
- Proficient in Microsoft Office Applications, especially Excel.
- Proficient in Google Suite, especially Google sheets, forms and sites
- Must be comfortable in working with numbers and large datasets
- Excellent written and verbal communication skills
- Proactive in making recommendations on areas of improvement
- Able to adapt to changes and be flexible, and quick to learn
