We are looking for a Junior Admin Assistant to support our Human Resources department.

The ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner.

Ultimately, you should be able to ensure our HR department supports our employees while conforming to MOM employment laws.

Working hours: 9am-6pm

Part-Time: 3 days (Fix by Executive)

Responsibilities

• Payroll, conduct interview and providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
• Onboard and Offboard
• Organise and maintain personnel files, ensuring necessary personal records are filed
• Update internal databases (e.g. record medical or maternity leave)
• Provide support in recruitment such as job posting, sourcing, reference checks, arranging interviews, contract signing and onboarding of new employees
• Prepare HR documents, such as employment contracts and new hire guides
• Liaise with external partners, such as insurance agents, and ensure legal compliance
• Ensure work pass applications (WP/SPass/EP) and status including monitoring of expiry date Support the management of disciplinary and grievance issues

Job Description:

Conduct staff orientation, prepare appointment letters and related documentation for new hire.

Have hands-on experience in work pass applications and related matters.

Administer Employee benefits including medical records, insurance claims, leave entitlement and yearly leaves initialization.

Establish and administer employees’ records and ensure accuracy and confidentiality for all employees.

Organize, schedule and administer training courses and keep good training records

HR Admin Responsibilities:

• Manage work passes related issues such as application, renewal, cancellation etc.
• Responsible for application, renewal and maintaining licensing with various government bodies
• Reporting to MOM if there is any change in foreign worker details, such as passport, residential address, mobile and etc.
• Assist in submission of CPF contributions, IR21, IR8A, levy claim applications, government surveys and other statutory submissions.
• Maintain and timely renew of Insurances, Security Bond and Insurance Claim Handling
• Maintain and update employee records, including personal information, attendance records, and leave balances
• Verify timesheets and attendance for operations staff
• Assist in monthly payroll processing
• Prepare letters and internal announcements as and when required.
• Ad-hoc duties as and when required.

Office Admin Responsibilities:

• Ensure stationery and pantry supplies are adequately stocked by ordering when required.
• Daily cash book management and monthly stock reconciliation
• Answer incoming calls, mail handling, receive and attend to guests
• Update and maintenance proper filing system (for finance and HR) to ensure documents are traceable in an efficient manner
• Liaise with the cleaners to maintain the cleanliness of the office
• Any other administrative tasks as required.

Job Requirements:

• Diploma or Degree in Human Resources Management, Business Administration or related field
• At least 2 years of human resource management experience is preferred
• Proficient in MS Office - Word, Excel and PowerPoint
• Proficient in English and preferably in Mandarin in written and verbal communication
