Security Executive

Summary of Responsibilities:

The main responsibilities and tasks of this position are as listed below, but not limited to these:

• Report for duty as per schedule in roster and be in attendance for the daily 15 minutes pre and post shift briefing
• Don essential company issued equipment such as Mobitalk, Bluetooth device, torchlight and pocket mask during duty
• Be in-charge of the Hotel Security Control Room as well as for the day to day operations
• Ensure all official security documents are handled accurately in accordance to SOP
• Manage access points as assigned to ensure all entries are authorized
• Maintain keen vigilance at the pass counters where colleagues, part-timers, casual labors, vendors, contractors, and visitors check in
• Manage the Visitor Management System for visitors, contractors, and vendors
• Manage the Casual labor system for casual labors and part-timers
• Monitor CCTV coverage within the hotel property and highlight any issues observed
• Perform static lobby / convention Centre coverage and duty
• Perform roving security and safety clocking patrol within and around the hotel premises
• Perform enforcement tasks as assigned and be at deployment as per deployment schedule
• Ensure security system are in working order, and if not, to highlight to Assistant Security
• Manager and collaborate to raise maintenance reports
• Coordinate Night Transport for colleagues
• Respond to all security, safety and medical emergencies as soon as possible where assistance is required
• Be part of the Hotel Emergency Action Team (HEAT Team) / Company Emergency Response Team (CERT Team) to respond to emergencies
• Conduct inventory checks of keys and passes
• Handle Loss & Found findings, reports and inquiries
• Provide lift control and VIP
• Perform First Aid/CPR/AED if required

• Guide Security personnel to adhere to operating procedures
• Cover Security personnel duty during breaks or as and when required
• Conduct preliminary investigations such as key reading, CCTV review, interview and ground surveillance
• Update the Security Department of incidents within 2 hours of occurrence via official mobile application group (Synopsis)
• Create Incident Report (HIR), Glitch Report, and record in Daily Occurrence Summary for all incidents
• Ensure all handing over and taking over security documents / equipment are in order and in accordance to SOP
• Participate in all security, safety and medical training and exercises
• Ensure accountability of Visitor, Contractor, Casual Labor, Part-time passes
• Ensure accountability of all hotel keys (physical / electronic) in the key press and ensure records are in order
• Ensure Fire & Life Saving System (FPLS) is online and address all alarms immediately
• Dispatch HEAT / CERT to location of alarm as soon as alarm is activated
• Check Know cross system during duty for any jobs dispatched to Security Department
• Report any non-compliance / non-performance of security personnel to Assistant Security Manager
• Liaise with vendors for follow-up on rectification of equipment
• Address any other tasks instructed by Assistant Security Manager / Director of Security
• Collate reports (HIR), record statements, interview eyewitnesses and perform onsite investigation and involve the Authorities, if necessary
• Assist colleague in handling of unusual guests or colleagues’ problems, such as, but not limited to, disorderly conduct, thefts, suicides, bomb threats, colleague or guest accidents, fire or safety hazards, robberies, terrorist activities, civil disturbances, power or elevator failures, medical assistance and natural disasters
• Familiarized and handle the Saflok system (RFID key cards)
• Notify Security Managers and Hotel Duty Managers (when necessary) of any discrepancies or emergency crisis occurred within the hotel premises. Manage all emergency personnel in response to such crisis
• Train and guide new security officers on security operations, equipment, SOPs and hotel policies
• Continue to train, retrain and guide security officers on new security operations and hotel policies
• Disseminate all information by the Management to the Security Officers
• Make recommendations and/or administers disciplinary actions as and when required
• Encourage and motivate team members in the absence of the managers
• Disciplinary action will be taken as well on continuous non performer
• Select, train, schedule, discipline and direct security colleagues in all aspects of security and safety policies and procedures e.g. operations of surveillance equipment, report writing, record keeping, etc.
• Keep abreast of developments within the hotel and community as they relate to security as well as act as a liaison with local law-enforcement agencies
• Remain informed of current local laws and regulations as they relate to the hotel, particularly in the area of guests, patrons and colleagues’ rights

Key responsibilities

• Serve as day-to-day support for 5-6 clients, managing both strategy and execution
• Supporting the Account Lead to ensure KPIs are met across all clients
• Research and write press releases, op eds, case studies and blog posts
• Coming up with story angles to help meet the client KPIs

PUBLIC RELATIONS STRATEGY

1. Develop, maintain and execute compelling PR strategy leveraging on unique identity for each launches with a cohesive brand storytelling in mind for image and awareness generation amongst Media and Influencers in Singapore.
2. Lead, Improvise, Localise HQ guidelines with local branding objectives for relatability and perceptive SOVs for the targeted audiences to increase awareness and communication.
3. Always ‘in-the-know’ for new trends, new experiences, and new platform mechanisms from luxury competitors.
4. Responsible to refresh, renew, sustain ideas and personalities to amplify ‘even-better’ campaign performance for key launches to improve ranking in print/ digital/ social outputs in monthly basis.
5. Work closely with regional PR, Trade, CRM team to ensure that execution of in-store experiences and OOH events can be synced to optimize on cashflow without diluting press/ influence experience.
6. Manage overall PR budget assigned and ensure right allocation to key franchise to garner strong coverage on all channels via earned and owned media (Seeding, Media buy, Exclusive opportunities, etc).

MEDIA & INFLUENCE RELATIONS

1. Engage and Maintain media and influence relationship as long-term partnership with clear conversation lead, and objectives to capitalize periodically.
2. Conduct Conceptual media pitching with stories, exclusivity of angles/ personas to secure earned output or amplify owned output.
3. Develop cohesive plans for paid engagements/ stories every semester or FY to nurture strong front of friends of Maison Guerlain for a long run.
4. Curate, coordinate, execute launches seeding to target media and KOLs strategically for earned social/ digital coverage. Facilitate loans for media shooting in timely manner with close coordination with other marketing function ie. Retail team.

EVENT PLANNING AND MANAGEMENT

1. Craft, plan and coordinate PR events for key launches based on HQ guidelines and maintain a strong brand image and storytelling of key launches.
2. Source, manage and secure unique or conceptual venues alongside with catering, décor, AV requirements, experience set-up, compliance for PR events with external third parties.
3. Manage, secure and track RSVP lists for attendees on organic and paid attendees to amplify event deliverables and coverages from all facets (Media, Celebrity and Influence).
4. Be on-ground, troubleshoot and resolve any event-day challenges from VM Set-Up to other topics relating to making a success of the event (Best Practice level of execution is expected).

PRESS RELEASES AND COMMUNICATIONS

1. Develop and disseminate compelling communication to media and influences with engaging, accurate, timely, localised press releases and time-to-time tactical communications for pitching.
2. Pitch and leverage to highest earned value of outputs for exclusive HQ/ Ambassador assets or synchronisation from other countries’ of Maison Guerlain engagements.
3. Ensure messaging and language consistency across all communication channels or press materials.

MEDIA COVERAGE MONITORING & REPORTS

1. Monthly reports including clippings from seeding or paid engagements, post-event reports, competitor’s reports, case studies (specific brands upon request for in-depth study internally).
2. Monthly sync-up reports on key launches to regional team (upon request on key launches only).
3. Be on top of all LVMH Beauty monitoring system such as. DMR, Lefty for macro, micro, nano monitoring in print/ digital/ social.

Responsibilities:

1. Provide general legal advice on property related matters to our salespersons.
2. Represent the Company on the claims matter in Small Claims Tribunal.
3. Attend Mediation sessions to resolve commission disputes.
4. Handle feedback from our salespersons and consumers.
5. Handle debt recovery and collection matters.
6. Drafting legal documents.
7. Perform any other adhoc assignments as and when assigned in support of the department.

Requirements:

1. Minimum Diploma in Business Admin / Law.
2. Preferably some years of working experience in the similar capacity.
3. Fresh graduates are most welcome to apply.
4. Training will be provided to handle the different aspects of legal matters.
5. Good knowledge in contract and real estate law will be advantageous.
6. Good drafting and negotiation skills.
