Job Description

The successful candidate will be part of the Safety, Security and Quality (SSQ) Development department. He/ She will manage SSQ’s systems, provide user support for systems and IT related matters, and work collaboratively with users to enhance existing systems and on development of new systems. Additionally, the incumbent will also be responsible for coordinating the annual finance and IT budgeting exercise for SSQ and for budget tracking and reporting as required.

Key Responsibilities

1) IT Project Planning & Budgeting

• Prepare, track and manage the IT project plan and budget for SSQ
• Co-ordinate, track and manage the SSQ Finance annual budget and reporting

2) IT & Systems Support

• Provide support for SSQ’s systems
• Access management for SSQ’s systems
• Maintain documentation on SSQ’s system processes
• Act as a liaison between users and ITD/ vendors for system related matters
• Co-ordinate IT asset and user ID recertification exercises
• Secretariat for divisional IT meetings

3) Systems Development & Project Management

• Work with users on business process re-engineering to streamline SSQ’s processes
• Work with SSQ users and other business units on business requirements and solutions for new or existing systems.
• Conduct user acceptance testing (UAT) to ensure the system/ enhancements meet the specified requirements.
• Change management and system implementation

4) Technology Awareness

• Keep abreast of key and emerging technologies to leverage on digital
• Engage sections within SSQ to discover opportunities where technology can be exploited

Requirements

• IT related university degree. Fresh graduates are welcome to apply.
• Experience in business requirements analysis, systems support & development, and project management
• Knowledge of Tableau and/ or Python would be advantageous but not compulsory
• Strong inter-personal and communication (verbal & written) skills
• Good planning and analytical skills

Working Location : Suntec Tower
Working Day : 5 Days
Working Timing : 9 – 6 PM
Salary Budget : 4,500 - $6,000+ VB

• To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
• Reporting and supporting the Executive Director and will work closely with and supporting the principal.
• Experience in handling trust and legal documents are a must for this role, familiar to compliance duty is a plus.

Job Duties:

1. Assist in providing administrative support / services as well as solutions meeting the needs for the Company and the Group.
2. Assist in creating, formatting, and proofread documents, including letters, reports, memos, and presentations to ensure accuracy and professionalism in all written materials.
3. Transcript of voice recording of meetings / phone conferences.
4. Draft, review & comments emails / agreements / documents for Executive director’s consideration.
5. Comfortable to identifying and evaluating legal and compliance risks within the company and the group.
6. Monitor and report on regulatory changes and developments.
7. Record and monitor deadlines, update status and tracking internal database / reports of relevant tasks / project assigned.
8. Administer and maintain databases / files; renaming, reorganizing, and maintaining files, folders, documents, and internal database (spearhead converting largely to digitally).
9. Assist in office management.
10. Carry out other ad-hoc tasks / projects assigned by Executive Director

Job Description

• Responsible for all ensuring internal database is updated as required. Support the Corporate Secretarial team on various matters.
• Maintaining office files and internal database, including job files, vendor files and other files related to the Company’s operations.
• Preparation of basic corporate secretarial documents.
• Assisting the corporate secretarial team.
• Liaise with Clients on general administrative matters.
• Manage phone calls and correspondence (e-mail, letters, packages etc.).
• Liaise and coordinate with internal and external parties, including solicitors and regulatory bodies.
• Strengthen long-term relationship with our customers and business partners by providing excellent services.
• Any other Ad-hoc duties as assigned

Requirements

• Education Level: Diploma onwards
• Experience: 1 to 2 years work experience / Training provided.
• Skills/ certifications: MS Word, Outlook and Excel
• Ability to prioritize work and meet deadlines.
