Job Summary: The Business Operations Analyst reports to the Chief Operations Officer (COO) will provide high-level operatoins and administrative support to the COO. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate will be proactive, resourceful, and capable of managing multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
- Documentation and Reporting: Prepare and edit reports, presentations, and other documents as needed. Maintain accurate records and files, ensuring timely retrieval and distribution of information.
- Meeting Coordination: Arrange and coordinate meetings, conferences, and events, including agenda preparation, meeting logistics, and follow-up actions.
- Information Management: Organize and maintain confidential information and sensitive documents, exercising discretion and confidentiality at all times.
- Project Support: Assist the COO in managing various projects and initiatives, including research, data analysis, and coordination with other departments.
- Relationship Management: Build and maintain effective working relationships with internal teams, external partners, and other stakeholders to facilitate smooth communication and collaboration.
- Priority Management: Prioritize tasks and requests effectively, anticipating needs and proactively addressing issues to ensure efficient workflow and productivity.
- Special Projects: Assist in special projects and assignments as directed by the COO, contributing to the achievement of organizational goals and objectives.
Qualifications:
- Bachelor's degree in Civil & Building, Mechanical, Electrical & Electronic Engineering or related field preferred.
- Proven experience as Business Analyst or similar role, supporting C-level executives or Senior Management.
- Strong organizational skills with the ability to multitask and prioritize workload effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
- Proficiency in Microsoft Office suite, business intelligence (BI) and other relevant software applications.
- Discretion and confidentiality in handling sensitive information and documents.
- Resourcefulness, initiative, and a proactive approach to problem-solving.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to adapt to changing priorities and deadlines in a dynamic environment.
