Our company is looking for an organized and self-motivated project cum office administrator who will be responsible for providing project and administrative support to our project/development and office personnel.
The responsibilities include:
(A) assist project manager and project teams, including:
- Scheduling regular meetings and recording decisions (e.g. assigned tasks and next steps)
- Breaking projects into doable tasks and setting timeframes
- Creating and updating workflows

- Conduct risk analyses
- Prepare and provide documentation to internal teams and key stakeholders
- Order resources, like equipment and software
- Retrieve necessary information (e.g. user/client requirements and relevant case studies)
- Track expenses and predict future costs
- Monitor project progress and address potential issues
(B) carry out office adminsitration duties including:
- Welcoming visitors and directing them to the relevant office/personnel.
- Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, shipping documents, memos, resumes, and presentations, project documentation.
- Coordinating and managing appointments, meetings, and keeping proper records.
- Performing bookkeeping-support tasks such as invoicing, payment requests, delivery records, monitoring accounts receivable and payables, and budget tracking for office and project expenses.
- Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
- Ordering and purchasing resources, office supplies, equipment, and furniture, keeping inventory records, assisting on conducting stock-take.
- Overseeing the maintenance of office facilities, and equipment.
- Assist in project tests and in preparation of project test reports, preparation of technical documentation and schedules.
