Responsibilities and Duties

• Coordinate tasks with external consultants
• Assist with staff onboarding procedures and systematic paperwork, and ensure successful onboarding
• Assist to prepare Contract of Employment for new staff (from template) for approval
• Assist to prepare Letter of Offer for new casual (from template) for approval
• Review staff timesheets • Compile and check timesheets for payroll
• Compile and check staffing ratio • Compile and check all staff claims
• Compile and check documents submitted by from business units
• Other adhoc admin matters

Qualifications

• Diploma or higher
• Prior experience in business administrative roles is desired
• Must have basic Microsoft software skills (Excel, Word), Willing to learn new system or software
• Respectful, able to work both as a team member and independently.

Role: PMO/Project Admin

Key Responsibilities:

· Manage end-to-end asset inventory from forecasting, procurement, allocation and reclamation.

· Responsible for continuous review and improvement of the on and off-boarding process for greater effectiveness and efficiency.

· Accountable and responsible for administrative tasks related to on-boarding and off-boarding such as,

o Joiner documentation and tracking o Asset allocation and tracking

o Leaver documentation and tracking

o Monitoring of issuance and revocation of access pass, laptops, LAN IDs and application access

o Generate periodic and ad-hoc reports related to the on and off-boarding process

o Liaise with hiring managers and other PMOs for logistics related the on and off-boarding process

· Responsible for fixed asset tracking tasks such as change in asset ownership, cost centre and fixed asset inventory stock take.

· Collaborate with the Strategic Sourcing and Procurement team to raise purchase requests for business cards, stationary, aircon and other property related issues.

· Manage and support floor logistics such as office equipment, stationary, documentation destruction, sorting of mail, courier services and approvals for division head.

Key Requirements:

Education:

· Bachelor’s degree in IT or related field

· At least 3 years’ relevant experience preferably in an IT industry or IT PMO role

Essential:

· Have knowledge and experience in IT department or Projects related roles to understand IT Projects process.

· Structured admin work tracking and management as resource will typically be assigned to work on specific projects and is expected to support the Application delivery documentations and department Procurement/ Contracts documents.

· You are expected to ensure your work are adequately documented and tracked.

You will be expected to work with the departments heads and other teams to manage project management admin items within required for the IT Departments.

Key Domain/ Technical Skills:

· IT PMO or IT related experience

· Microsoft software knowledge – Excel, PowerPoint and Word

· Project management and Procurement process knowledge

Job Scope

• Daily monitoring of system operations through application and external emails. Download interface reports to track and monitor all interface runs, and escalate to L2 developers on interface failures for follow up. Email to respective external systems POC for follow up and recovery, if required.
