Job: Executive, Project Administration & Document Control
Location: Jurong Island

Duration: 6 months (extendable)

Providing administration support to the Project Management Department (logistics and accommodation arrangements, order Processing and document control), ensuring smooth workflow and efficiency and helping the team meet its targets by handling the important administrative tasks while ensure compliance. The main focus of this position will be directed towards the completion of required paperwork and assigned duties to enable the Project Management team to focus in meeting timely completion.

Responsibility Key Activities:

Site Administration Work - 70%

• Arrange technical advisors/supervisors’ logistics and including travel arrangements and control of visas, permits and Jurong island pass.
• Arrange technical advisors/supervisors accommodation.
• Check Inward/Outward remittance and update the status to client
• Management of office supplies such as Personal Protective Equipment.
• Support setting up IT devices for technical advisors/supervisors with guidance of clients IT Department.
• Assistant of the coordination with construction partners.

Document Control Work -30%

• Organize and manage drawings at the site office.
• Coordinate Overage, Shortage and Damage (“OSD”) goods with construction partner and monitor the status in the headquarter in Japan.
• Organize and manage other miscellaneous documents on site such as additional construction instructions, time sheets, daily work reports, procurement requisitions, etc.
• Support organizing and managing installation records, witness test time management, etc. (Assistant for on-site QAQC work in term of document control.)
• Once the goods shipped by the headquarter arrive at site, construction partner conduct the inspection and issue the OSD report (if any) to the headquarter in Japan. Headquarter to resolve such OSD.

ROLES:

RESPONSIBILITIES:

· Foresee Project Developments, to made changes in certain improvements and adjustments if the project is heading on track or not to the original plan.

· To maintain a cordial relationship with clients in explaining the job expectations and deadlines well so that there are no losses incurred due to miscommunication and also to work in coordination with other teams to achieve set goals.

· Multitask, all the projects under his/her supervision are simultaneously progressing smoothly towards completion. Moreover, he/she should ensure no project is being neglected because of another.

· He/she has to interact frequently with his superior to see if the project is within budget limits. If it is not, he/she must take remedial action immediately and ensure the project remains within cost boundaries.

· Regular follow-up on site meetings, researching market information and compiled into a report and submitted weekly report to the project manager in charge.

KNOWLEDGE AND SKILLS REQUIRED:

· A three-year Bachelor's degree in civil/mechanical/electronic engineering. A postgraduate degree in construction management is an added advantage.

· Minimum 5 years of experience in projects

· Good understanding of MEP building systems (Mechanical, Electrical, and Plumbing).

· Thorough knowledge of legal issues and safety standards is essential.

Project Admin Assistant [1 Year Contract]

• Salary: $2, 000 - $2, 500
• Working Days: Mon - Friday, 8.30am – 5.15pm

Job Responsibilities:

• Support department for daily and administrative works
• Prepare, compile and update Operation and Maintenance Manual for submission.
• Raise Material Requisition (MR) using in-house BC system.
• Assist in sourcing for products, project documentations.

Role Summary

The Assistant Manager of Financial Planning & Analysis will be a key contributor in driving financial insights, improving decision-making processes, and supporting the organization’s growth strategy through data-driven financial planning and analysis.

Key Responsibilities

Financial Analysis:

• Supervise the FP&A team to ensure the accuracy and timeliness of financial data updates and maintenance.
• Lead the team in preparing and analyzing financial reports, including profit and loss statements, cost variance analysis, and budget vs. actual performance assessments.
• Perform advanced financial modeling and analysis, such as cash flow forecasting, project assessments, cost-benefit evaluations, and investment appraisals.

Financial Planning:

• Develop and maintain strategic financial models in Microsoft Excel to perform scenario analysis.
• Contribute to cross-departmental initiatives aimed at enhancing processes and improving cost-efficiency.

Compliance & Risk Management:

• Ensure adherence to internal financial policies, guidelines, and processes.
• Assist in identifying and mitigating potential financial risks to the organization.
• Support internal and external audit procedures as required.

Process Improvement & Ad Hoc Activities:

• Proactively identify and implement improvements to streamline FP&A processes.
• Provide support to management on special projects and other ad hoc assignments as needed.

Qualifications

Education:

• Bachelor’s degree in Finance, Accounting, Economics, or a related discipline.

Experience:

• 3–5 years of experience in FP&A, accounting, or related finance roles.
• Prior exposure to the Food & Beverage sector is advantageous.

Skills and Competencies:

• Exceptional analytical and problem-solving abilities.
• Strong attention to detail with excellent organizational skills.
• Advanced proficiency in Microsoft Excel for financial modeling and analysis.
• Strong communication and presentation skills, with the ability to translate complex financial concepts into clear, actionable insights for non-financial stakeholders.
