Our company is looking for an organized and self-motivated project cum office administrator who will be responsible for providing project and administrative support to our project/development and office personnel.

The responsibilities include:

(A) assist project manager and project teams, including:

• Scheduling regular meetings and recording decisions (e.g. assigned tasks and next steps)
• Breaking projects into doable tasks and setting timeframes
• Creating and updating workflows

(B) carry out office adminsitration duties including:

• Welcoming visitors and directing them to the relevant office/personnel.
• Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, shipping documents, memos, resumes, and presentations, project documentation.
• Coordinating and managing appointments, meetings, and keeping proper records.
• Performing bookkeeping-support tasks such as invoicing, payment requests, delivery records, monitoring accounts receivable and payables, and budget tracking for office and project expenses.
• Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
• Ordering and purchasing resources, office supplies, equipment, and furniture, keeping inventory records, assisting on conducting stock-take.
• Overseeing the maintenance of office facilities, and equipment.
• Assist in project tests and in preparation of project test reports, preparation of technical documentation and schedules.

- Farmiliar with construction, or renovation, or M&E trade

- To coordinate with various project parties and collate all paper works for submission to client.

- Capable of generating project related documentation, for eg, risk assessment, work method statement, xcel, write-ups etc

- Prepare, collate and file project documentation, eg, invoices, bills, etc

- Those with accounting background/certification and/or can perform project costing centres, will be given the senior position

- Any personnel who has accounting professional certification and can perform administrative role will be ideal for this position.

Requirements:

- Only candidate with minimum 4 years Singapore work experience needs to apply.

- Candidate must have a total 8 years of combined industrial experience in builder's trade.

- Candidate should be detailed and meticulous with his/her work.

- Minimum A level or equavalent.

- Minimum 5 years in similiar trade

Project coordinators/admin work is to assist the Project Director / Project Manager with the coordination of resources, equipment, meetings, information and project management. They organize projects with the goal of getting them completed on time and within budget.

Job Responsibilities:

• Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.

• Organizing, attending and participating in stakeholder meetings.

• Documenting and following up on important actions and decisions from meetings.

• Preparing necessary presentation materials for meetings.

• Recording Minutes of Meetings and disseminating them to desired stakeholders.

• Determining project changes.

• Providing administrative support as needed.

• Undertaking project tasks as required.

• Ensuring projects adhere to frameworks and all documentation is maintained and filed appropriately for each project.

• Help the project team to assess project risks and issues and provide solutions where applicable.

• Chair and facilitate meetings where appropriate and distribute minutes to all project team members.

• Create a project management calendar for fulfilling each goal and objective.

Requirements:

• Minimum of 3 years relevant working experience with a tertiary qualification.

• Exceptional verbal, written and communication skills.

• Ability to work effectively both independently and as part of a team.

• Experience using computers for a variety of tasks.

• Competency in Microsoft applications including Word, Excel, PowerPoint and Outlook.

• Knowledge of file management, transcription, and other administrative procedures.

• A detailed person with the ability to work on tight deadlines and meet deadlines.

• Experience in assisting in budget preparation, monitoring and tracking will be an added advantage

• Project Management certification or experience will be an advantage.
