Roles and responsibilities:

• Submitting administrative documents to the relevant parties, ensuring compliance with deadlines and requirements for buildups.
• Where required, handling applications for temporary work permits for contractors engaged in event setup and execution.
• Making minor adjustments to artwork or layouts using basic graphic design skills.
• Assisting the Project Director with scheduling tasks and delegating responsibilities to project executives based on their availability and workload.
• Maintaining project records, tracking progress, and ensuring all deliverables align with established timelines.
• Acting as a point of communication between project executives, contractors, and the main project team to facilitate smooth coordination.
• Assisting with ad-hoc requirements, such as arranging deliveries to the event site or addressing unforeseen needs during project execution.
• Supporting the team with other administrative duties as required to ensure project success.

Requirements:

• Minimum Diploma in Business Administrative, Project Management, or related field
• Minimum 2 years of working experience in project administration, event planning, or a similar role.
• Strong organizational and multitasking skills.
• Basic graphic design proficiency (e.g., using Adobe Photoshop, Illustrator).
• Excellent communication and interpersonal skills.
• Ability to work in a fast-paced, deadline-driven environment.

Jobs Responsibilities:

· Pre-screen, sort and distribute all incoming mails and faxes to appropriate Project Supervisors and identify priority issues that require immediate attention

· Review of all contracts pertaining to the company projects

· Responsible for arranging meeting for the Project Manager, Assistant Project Manager or Site Supervisors

· Handle all documentation of site projects aspects in the company

· Prepare minutes for the meeting, notices, agendas and other correspondences in the department

· General administration support to project team and assisting the project manager in working out the quantities for variations and progress claims

· Undertake any other ad-hoc projects/duties assigned

· Coordination with various project managers and team members

· Tracking of project activities

· Support Project Director/Manager on invoicing and purchasing requests

Requirements

Preferably with some relevant working experience in construction.

· 1 to 3 years’ experience in Project Admin

· Have been in a project coordinator role in construction environment

· Minimum ITE,“O” Level, diploma and “A” Level or equivalent;

· Diploma holders with limited working experience are welcomed.

· Outgoing with good communication and problem-solving skills for engaging with both internal and external parties to support project-related activities.

· Able to work independently and target oriented in a stressful environment.

· Computer-literate & Microsoft Office skills

· Able to start work immediately or within short notice

• Provide comprehensive administrative support to the project team.
• Handle incoming and outgoing correspondence, emails and phone calls.
• Prepare and edit documents, reports, and presentations.
• Maintain project documentation, files, and records.
