Key Responsibilities

1. Office AdministrationOversee general office functions, including managing supplies, equipment, and vendor relationships.
   Maintain and update operational policies and procedures to improve efficiency.
   
2. Data Management & ReportingOrganize and maintain company records, databases, and documentation.
   Generate regular reports and analyses for management review, ensuring data accuracy.
   
3. Scheduling & CoordinationCoordinate and schedule meetings, appointments, and travel arrangements for executives and team members.
   Organize company events, training sessions, and team-building activities.
   
4. Financial SupportAssist in budget tracking, expense reporting, and invoicing.
   Collaborate with finance and accounting teams to ensure timely processing of transactions.
   
5. Internal Communication & Team SupportServe as a central point of contact for administrative inquiries and issues.
   Support cross-functional teams by streamlining communication and ensuring project deadlines are met.
   
6. Process ImprovementIdentify opportunities to optimize workflows and implement best practices.
   Proactively propose solutions to enhance day-to-day operations.
   

Qualifications

• Bachelor’s degree in Business Administration, Management, or a related field.
• Proven experience in an administrative or operational support role.
• Strong organizational and time-management skills.
• Excellent written and verbal communication abilities.
• Proficient in Microsoft Office (Word, Excel, PowerPoint) and familiar with project management tools.
• Ability to handle sensitive information with confidentiality and discretion.

Job Descriptions:

• Maintain accurate attendance records for all staff and workers.
• Coordinate and manage site passes to ensure timely access for all personnel.
• Assist and support the Project Manager with project management and administrative tasks.
• Oversee project administration documentation, including processing, filing, and managing internal communications.
• Communicate and collaborate with customers, contractors, and third-party service providers.
• Handle general administrative tasks as needed.
• Coordinate with internal and external suppliers for quotations, orders, and delivery arrangements.
• Provide administrative support to all departments as required.

Job Requirements:

• Diploma in building, Facilities management, civil engineering or equivalent certification.
• Good knowledge and skill in Project Management.
• Minimum 3 years of relevant working experience in Project Administration for construction, design or building industry or property / facility management.
