We are seeking a highly organized and proactive Business Administrator to support the day-to-day operations of Faith Assemble Pte Ltd. This role requires a detail-oriented and resourceful individual who can manage administrative tasks efficiently, coordinate internal processes, and contribute to the overall success of our mission to empower human resources through motivational coaching.

Key Responsibilities

1. Administrative SupportManage daily administrative operations, including scheduling meetings, maintaining records, and handling correspondence.
   Organize and update company documents, contracts, and client records.
   Ensure office supplies are adequately stocked and replenished when needed.
   
2. Operational CoordinationCoordinate between different departments to streamline processes and ensure efficient workflows.
   Assist in preparing and maintaining project documentation, reports, and proposals.
   Support the implementation of consultancy programs and workshops.
   
3. Client EngagementServe as a point of contact for client inquiries and ensure timely communication.
   Assist with onboarding new clients by managing documentation and ensuring compliance with company policies.
   
4. Event and Workshop ManagementProvide logistical support for coaching sessions, workshops, and seminars.
   Coordinate with trainers, venues, and participants to ensure events run smoothly.
   
5. Finance and Budget SupportHandle invoicing, expense tracking, and budget management.
   Work closely with the finance team to ensure accurate financial reporting.
   
6. Process ImprovementIdentify areas for administrative process optimization and propose solutions.
   Support the implementation of new tools and systems to enhance productivity.

We are thrilled to welcome you aboard our water business as a project administrator for the New Kranji Water Reclamation Plant project. You will be based at the Singapore Jacobs Office located at Beach Road. This role will work closely with and support the Project team.

Your essential duties will include:

• Assisting with meeting scheduling, training coordination, and file preparation
• Handling various administrative tasks, such as creating PowerPoint presentations and letters, generating Excel reports, consolidating monthly reports, and creating monthly statistics graphs
• Recording, preparing, and distributing meeting minutes
• Assisting with administration and record-keeping
• Providing support for internal and offsite functions for both Jacobs and the Client
• Filing and uploading documents, meeting minutes, and permits
• Supporting general procurement activities for the Project team, including coordinating external service providers for training and managing office equipment/supplies procurement/rentals

To be a successful candidate, you shall possess:

• A minimum of 5 years of experience in administration.
• Prior experience in large office/construction project settings will be an added advantage.
• Advanced proficiency in the MS Office Suite (Word, Excel, PowerPoint)
• Strong interpersonal skills and a positive, professional attitude at work
