Business Development

· Prepare Standard Quotation Forms for Cost Estimation in line with tender scope/summary

· Assist BD in preparation and submission of tender documents (e.g. Fill-in Tender Forms, Contractors particulars & Technical Data (Upon receipt from PICs) as per Tender Format

· Prepare Hard Copy/Soft Copy of Bid with necessary supporting documents as per submission requirement as instructed by BD

· Quantity take-off, materials sourcing, measuring, and estimating materials and labor costs used in the tendering process.

· To request for quotation and liaise with subcontractors and suppliers for various trades.

· Oversee of review contracts, identify irregularities in order to ensure compliance of contracts and the drawings.

· Prepare and analyze costings for tenders

· Assist to prepare tender and contract documents including bill of quantities

· Perform quantity take off for tender

· Prepare costing and budget, pre and post-tender estimate

· Prepare and compile tender documents

· Attend site show round/ tender briefing

· Manage the financial & contractual of all projects from pre-tender stage including quantities, variations, cost estimates, to tender submission;

· Monitoring and keeping track on Contract Insurances details (e.g., expiry date vs project actual completion dates/ indemnity liabilities of stakeholders, etc.)

Administrative

· To provide support to Business Development (BD) team by carrying out general administrative duties.

· To assist and maintain proper and systematic documentation e-filing system for outgoing and incoming data.

· To support and use of company internal ERP system to execute daily tasks.

· To manage and track status of Project Quotation and Project Registration on company’s ERP system to ensure data are up-to-date and properly captured in the system.

· To provide additional administrative support for team members as needed.

· To follow and ensure compliance to company BD&P policies and procedures.

Requirements

· Diploma / Degree in any discipline, preferably in Construction/ Contract Management of Quantity Surveying, Engineering, etc

· At least 3 years of relevant experience in M&E contract administration

· Proficient in Microsoft Office Applications

· Meticulous, proactive and good time management

· Good communication and interpersonal skills

· Good team player with ability to work independently

Job Scope:

• Regularly assess cost-saving opportunities and ensure that pricing for goods aligns with current market rates, is efficiently sourced, and procured to maximize value for the business
• Lead accurate demand forecasting in collaboration with sales and marketing by monitoring and communicating forecasts, changes, inventory estimates, supply conditions, business risks, opportunities, and mitigation strategies
• Analyze sales trends and influencing factors to incorporate insights into forecasting and inventory planning
• Manage spending effectively and promote a culture of long-term savings in procurement costs
• Build and maintain effective relationships with key suppliers for food and beverage raw materials, ingredients, and packaging to meet business needs

Requirements:

• Minimum of 3 to 5 years of work experience in purchasing, ideally within the FMCG sector, with a preference for food sourcing/purchasing
• Experience in overseas food importation, particularly in freight cost management, MOQ negotiation, and inventory control. Experience in meat and cheese imports is considered advantageous
• Knowledge of SAP software, pivot tables, VLOOKUP, and Excel
• Proven track record of managing significant costs of goods with a strong motivation to deliver cost savings
• Excellent at guiding and mentoring team members to achieve accuracy in forecasts and inventory management
• Strong leader with good decision-making skills and the ability to multitask
• Demonstrated success in collaboration (cross-functional) and delivering results as a team contributor and coach
• Strong business acumen, an open-minded approach, and the ability to effectively manage relationships within the organization and with suppliers

About the Role

Your role will be varied and will include:

• Responsible for all the procurement negotiations for the project and lead the development and implementation of Contracting Strategy and Procurement Plan including the use of appropriate forms for of contract and compensation models Provide inputs related to Contracting and Procurement timelines to the overall Project schedule. Input the Contracting and Procurement timelines to the overall Project schedule.
• Develop a Contracting Strategy and Procurement for the project in conjunction with the Project Manager. Implement and manage the complete Procurement element of the Project and for the commercial aspects of Contracts.
• Ensure that all Procurement issues including inspection and expediting are addressed through all phases of the project life cycle. Ensure sufficient procurement manpower resources and hardware are available to meet the programmes.
• Ensure that all activities within this responsibility are undertaken in a way that doesn’t adversely impact project schedule. Ensure that all appropriate Procurement staff are kept fully aware of the Project. To ensure effective communications with the project team in order that the total contracting and procurement process meets the Project programme requirements.
• Manages the competitive bidding, evaluation, and award process & budget allocations of project. Support legal team with contract negotiation.
• To consider the implications of the project on future Procurement resource requirements, including consideration of Procurement requirements and staffing levels and training of Procurement staff.

About you?

To be successful in the role, you need to have been successful in a similar pharma industry procurement role where your exposure was on a similar scale to our business, which has a global multinational supply footprint.

You’ll also need to have;

• Bachelor’s degree in engineering, supply chain management, logistics, or business administration
• Minimum 8+ years of Capex/Strategic Sourcing or Category management experience in Pharma industry
• Steered significant global Capex spend exceeding US$500M
• Experience using supply chain management software and tools, including Oracle, SAP Ariba, Coupa
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
• In-depth knowledge of preparing and drafting & reviewing contracts, invoicing, and negotiation terms
