 The Role

The Shipping Business Analyst will report into the regional Technology lead, and will collaborate closely with a busy and dynamic Maritime trading desk .  The primary focus will be to provide technical support and expertise for the VESON IMOS software. We believe in hiring diverse candidates with a passion for working in a flexible and closely knit company. We are a small team with a wide range of expertise and will provide immersive on-the-job training in both software and the business.

Key Responsibilities Include:

• Collaborate with the business to support daily operations relating to long-term time charters and voyage charter operations.
• Address and resolve invoicing or cash discrepancy issues for the operations team, ensuring accuracy and a timely solution
• Act as a subject matter expert, providing technical assistance and ensuring the system aligns with business processes and controls.
• Identify opportunities for process improvement
• Assist with the configuration and customization to meet specific business requirements.
• Troubleshoot and resolve system-related issues, liaising with both internal stakeholders and external support teams when necessary.
• Provide training and guidance to end users.
• Stay updated on the latest developments in VESON IMOS and maritime shipping technology to ensure the organization leverages cutting-edge solutions.

Skills and Experience Required:

• Maritime operations related experience
• BSc Degree, relevant related degree or advanced diploma in an Economics, Finance, IT, Maritime, Business or Engineering related subject
• Solid understanding of database management and reporting tools
• Strong analytical and problem-solving skills with a detail-oriented mindset.
• Excellent communication skills to collaborate with diverse teams, including trading desks and technical teams.
• An understanding of maritime regulations and compliance would be an advantage.

Responsibilities:

• Preparation of Quotations and Purchase Orders
• Liaison with Customers, Suppliers and Service Providers
• Preparation of Management Reporting
• Coordination of Orders Delivery and Logistics Planning with Internal and Production teams
• Any other duties relating to the efficient operations of the Company

Skills and Qualifications:

• Diploma in Business Administration or related field
• At least 3 years of proven experience in a operations position or its equivalent
• Excellent communication skills and multi-tasking ability
• Excellent ability in problem resolution and conflict management
• Excellent organization skill and initiative
• Proficiency in Microsoft Office (Excel, Word, PowerPoint)
• Mandarin speaking is mandatory to communicate with China counterparts

Job Description:

• Assist in checking of aircraft components and consumables availability
• Ordering and monitoring of ad-hoc aircraft components and consumables required.
• Updating Daily Spares Shortage list and track task completion
• Communicate with Engineers on spares availability
• Performing credit back of unused spares
• Perform installation/dismantling of aircraft components on SAP
• Managing 3rd party spares inventory
• Communicate with Customer Support team when required.
• Carry out any other tasks as assigned by Supervisor or Executive.

Requirements:

• Minimum Higher Nitec in Aerospace Engineering or Equivalent
• Good communication in written and spoken in English.
• Able to work in dynamic and fast-moving environment.
• Highly organized and computer literate.
• SAP experienced preferred.

• Manage Customer Requests:

  First point of contact for customers regarding Sales Support requests:

• • Handle information, documentation, questionnaires, enter CRM cases regulatory/quality requests and follow up including reminders.
  • Handle incoming communication (telephone calls, mails, requests, …), forward messages to the right people according to priorities, secure follow-up and check deadlines.
  • Interact with internal functions at local and HQ level to ensure required support.
  • Handle all sample requests and follow-up.
  • Coordinate and follow-up all customer complaints to ensure resolution and closure in best delay- I-CCR tool.
• Provide Administrative Support
  • Screen, prioritize and retrieve relevant information to support the Sales team.
  • Manage Sales Contract, Document Signatures (DSM side), contract storage and annual contract pricing quotation creation when required.
  • Local Microsoft Office Teams Folder maintenance (where needed).
  • Contribute to projects implementation including regional ones.
  • Attending internal meetings (when required).
  • Co-ordinate rebate approval (when required).
  • Review and analyze forecast.
  • Support in CRM use and data hygiene.

• System Support
  • Support new Accounts setup and maintenance in SAP via QUADS
  • Support and onboarding customers to DSM Customer Portal.
  • IBP forecast
  • Sales data in NWP/Power BI
