The Role
Asset Management
- Oversee daily operations of building facilities and M&E (Mechanical & Electrical) equipment for offices and warehouses, ensuring a safe and functional environment for stakeholders.
- Recommend and implement enhancements or additional facilities/equipment.
- Manage maintenance programs, procurement activities, and asset tagging.
- Identify and implement improvements for asset operations, ensuring optimal performance.
- Assist with administrative duties, including approval of iPOS, capex forms, invoices, and facility-related documentation.
- Maintain accurate records and inventories of all building assets and equipment.
- Prepare ISO documents for audits and ensure certifications and licenses are current.
Facilities Management
- Supervise daily facility operations, maintenance, and PPM (Planned Preventative Maintenance).
- Address user requests/complaints regarding maintenance, equipment acquisition, and disposal.
- Prepare budgets, process payments, and manage departmental expenses.
- Oversee root cause analysis reports and ensure compliance with corporate policies and standards.
- Manage building shutdowns, testing, and maintenance schedules.
- Liaise with City FM and stakeholders for maintenance coordination and service reports.
- Obtain approvals for procurement and maintenance activities via email.
People Management
- Address stakeholder requests, feedback, and complaints with appropriate action.
- Build and maintain positive relationships with stakeholders.
- Train new hires and stakeholders on using the MyFM app.
- Oversee soft services, including feedback management from landlords and stakeholders.
Financial Management
- Manage OPEX and CAPEX budgets, including preparation, monitoring, and control.
- Advise stakeholders on service fee changes.
Procurement & Vendor Management
- Procure contracts and goods related to facilities and asset management, including negotiation and adherence to guidelines.
- Monitor vendor performance and take corrective actions as needed.
Building Improvement & Fit-Out Works
- Lead building improvement, renovation, and retrofitting projects within budget and timelines.
- Manage fit-out projects, including budgeting, tendering, supervision, and procurement of equipment and furniture.
Environmental, Social, and Governance (ESG)
- Assist in ESG initiatives by preparing and submitting data on water efficiency and waste management.
- Ensure regulatory compliance with EHS and green initiatives led by the Facilities Manager.
About You
- Recognised certification in Facilities & Project Management, Mechanical/Electrical Engineering, or related field.
- Possess interpersonal and problem-solving skills, able to work well in fast-paced environment.
- Attention to Details and sensitive to financial literacy.
- High Energy Level, able to handle pressure and perform multiple tasks
- Independent, proactive and possess can do attitude.
