What you will be doing:

• Assist the Facilities Manager in the daily operations
• Deputise as and when required if the Facilities Manager is not around
• Manage the team of technical officers, sub-contractors, supervise & coordinate facility management activities and ensure all works adhere to legal regulations
• Attend to any cases raised including after hours by the Client which includes the tenants where applicable
• Preparation of monthly and incident reports pertaining to the site(s)
• Ensure smooth operations on site(s)
• Manage ad-hoc project(s)
• Facilitate incident investigation whenever necessary
• To be rostered on 24-hr mobile standby team after office hour

About you:

• Diploma in Mechanical / Electrical Engineering, Building / Facilities / Real Estate Management or equivalent or a Degree in Project and Facilities Management or equivalent
• Minimum 3 years of relevant work experience
• A certified Fire Safety Manager would be advantageous

Job Description

• Perform & coordinate office activities and facility services
• Administer office processes and implement improvements to streamline the office and facility operations
• Manage office supplies inventory, print services and Dept’s fixed assets administration
• Coordinate the upkeep of office equipment and furniture
• Process invoices on office and facility services
• Administer the preparation, activation, issuance and record keeping of door access cards
• Process and maintain records of staff parking application of Company’s carpark
• Support the HSE and security audit documentation upkeep
• Generate periodic expense and facility performance reports on office and facility services
• Provide secretarial and administrative support to the Dept

Job Requirements

• Diploma in Business Studies/Estate Management
• 3 years’ relevant working experience in office administration and facility maintenance fields
• In-depth understanding of office management and building service procedures Ability to prioritize and perform multi-task work assignments
• With analytical mind with problem-solving skills
• Possess procurement and negotiation skills
• Passionate about delivering consistent excellence services all levels of employees
• A good team player with leadership skills
• Proficient in MS office
• Ability to use AutoCad software will be an added advantage

Job Description

• Assist Facilities Manager on the daily operations for building, M&E, cleaning, security, pest control and landscaping.
• Assist Facilities Manager on the operations of reception / triage, visitor's registration and compliance.
• Assist Facilities Manager on the daily operations of Bio-Medical Engineering.
• Assist Facilities Manager on the daily operations of Administration Dept and admin support for the hospital.
• Assist Facilities Manager on the SACH emergency response (fire, facilities, haze and terrorism).
• Assist Facilities Manager on all adhoc building & facilities projects within the hospital.

Qualifications

• Possess a minimum of 5 years of experience in Facility Management.

RESPONSIBILITIES

• Ensure in-house technicians and any contractors have met the workplace, safety & health and fire safety regulations upon carrying out any rectification or replacement work.
• Take charge of incidents during incipient stages before the arrival of appointed person.
• Familiarise with all emergency response, incident & crisis management and business continuity plans and procedures.
• Assist the Fire Safety Manager (FSM) and Site Incident Controller (SIC) in conducting fire drills, evacuation exercise, disaster exercise, table-top exercise and manage real incidents.
• To conduct preliminary investigation on all reported incidents and submit the incident report by end of the day.
• In charge of FCC and supervise the daily operations.
• Manage all ACMV, Lighting, Fire Alarm System, EM Doors, Paging, Lift Monitor System, Carpark System, CCTV in the FCC.
• To delegate respective competent Technicians to carry out daily checks and repair works at every shift.
• To check, prepare and update accurate event technical requirements ACMV and Lighting during work shift and for the following day if required.
• Manage and operate building systems to achieve energy efficiency and water saving and 3 also to reduce & recycling of waste.
• To ensure that the CERT response appropriately and promptly to incidents and emergencies.
• Open to work on weekdays/weekends/public holidays (depending event requirements) when required.
• Any other duties as requested by Reporting Officer.

• Minimum NITEC in M&E Engineering and/or Building Services related fields.
• Minimum 2 years relevant working experience.
• Able to communicate and with interpersonal skills. Pro-active and able to work independently and as a team.
• Strong hands-on technical skills.
• Proactive attitude.
