Job Title: Facilities and Compliance Executive -Junior (ID7137)
Location: Clementi
Working Hour: Mon to Fri, 9am-6.30pm
Basic Salary: $3000-$4000

Job Description:
• Scheduling preventative maintenance, pest control, horticulture, security management etc
• Monitor facility operations such as maintenance, repairs and renovations
• Supervise contractors to carry out maintenance work to ensure that the upkeep and the Site is maintained to meet the service standard.
• Ensure all licenses and permits are renewed in a timely manner.
• Ensure compliance with health and safety regulations
• Facilitate in business related license renewal and other activities relating with authority and compliance including renewal insurance policy management, electrical renewal and etc.
• Manage vendor relationships and negotiate contracts for various services related to general affairs
• Submit application, monitor and obtain MUIS approval on the certification of new/renewed halal certificates
• Renewal, conduct internal and external audits for ISO 45001 and HACCP related system.
• Any other ad-hoc duties as and when assigned.

Qualifications:
• Minimum Diploma in Facilities Management or equivalent with 3 years of relevant experience in facilities operations management
• Registered Workplace Safety and Health Officer (WSHO) and/or Certified Fire Safety Manager is an advantage
• Able to work under pressure and meet tight deadlines
• Highly motivated and be a self-starter, able to organize and manage multiple tasks concurrently as well as work with limited supervision

Job Description

• Assist in maintaining of building facilities on timely - servicing, inspection, equipment re-certification etc
• Liaise and co-ordinate with subcontractors for maintenance works
• To conduct daily facilities inspection to ensure all preventive maintenance works are completed and identify any defect if any.
• Determine and analyse the cause of defects, breakdowns and faults & provide suggestions to prevent any future occurrences.
• Populate and ensure monthly reports are accurately maintained.
• Follow all regulations and safety procedures.
• Plan, schedule and follow up on outstanding defects works
• Attend to complaints and troubleshooting faults.
• Daily opening and closing check
• Assist in setting up the AV system for meetings & events
• Compile and maintain service reports, Licenses / Certificates on site.
• Prepare and submit Certificate of Completion for Maintenance Works and Services monthly, and prepare monthly claims.
• Any other duties as assigned

Job Requirements

• Degree or Diploma from recognised tertiary establishment in Facility
• Management / Mechanical Engineering/ Electrical Engineering/ Building Services
• 3 years relevant experience role in Facilities Operation in FM service provider
• FSM /other FM and Safety related certificates will have added advantage
• Resourceful, team player and able to work independently
• Must be able to work and / or response after office hours and weekends
• Good interpersonal and problem-solving skills
• Can start work in immediately will be advantage

Responsibilities and Duties:

Facilities Management

· Oversee and manage hospital facilities management through third party service providers of the hospital;

· Ensure proper maintenance and upkeeping of building, facilities and equipment, along with preventive measures and calibration;

· Conduct regular inspections on building, facilities and equipment to determine the need for repairs or renovation, and to audit vendor performance;

· Coordinate and liaise with internal users and external vendors for the execution of maintenance, repair and building works; and

· Develop building operation policies, procedures, and service standards to comply with regulatory requirement.

Housekeeping, Sterilization, Linen and Portering Services

· Oversee and manage hospital housekeeping, sterilization, linen and pottering services, through third party service providers of the hospital;

· Conduct regular inspections on cleanliness and delivery of services to ensure timely, accurate and quality service;

· Manage patients, staff and stakeholders’ feedback on service delivery; and

· Reporting to Senior Management at the Health Quality Steering Committee (HQSC)

Vendor management

· Develop service requirement and standards for tendering of facilities management and housekeeping services;

· Manage and evaluate the performance for third party service providers in delivering their contracted services;

· Work closely with service providers to implement and monitor strategies to overcome audit findings and service gaps; and

· Review reports and billing documents.

Project Management

· Plan, secure project budget and resources, coordinate and execute projects; and

· Prepare and manage project schedule to ensure project completion within scope and schedule

Job Requirements:

· Degree with minimum 3-5 years’ experience in project management/ operations support, preferably from healthcare industry

· Proficient in workplace safety and health, and fire safety

· FSM/ SMC/ SIC/ CERT trained

· bizSafe Level 2/ sterilization handling / FM/ HK/ PM trained are preferred

· Good communication and interpersonal skills

· Good analysis and problem-solving skills

· Proficient with Microsoft Office applications

· A team player with initiative and excellent service attitude

· Ability to multi-task and work independently in a fast-paced environment
