Job Purpose:
- Implement the venue hire strategy to grow revenue and ensure optimal usage of venues, spaces, and support its services by exploring & generating opportunities for the centres to achieve their mission
- Develop and manage the venue’s business operations, including venue hire, events and functions to achieve the centre's mission.
- Support the Centre Heads in venue-hiring activities and maintain strong arts tenant relations.
- Ensure high standards of operations to meet hirer needs and encourage repeat business.
Duties & Responsibilities:
Leasing & Revenue Generation
- Plan and execute leasing strategies to ensure maximum occupancy and revenue for all venues and spaces.
- Explore and propose new business opportunities to increase occupancy and sales.
- Develop & maintain strong relationships with existing clients/hirers and actively seek new clients and business opportunities.
- Manage contractual negotiations, including preparing venue-hire/arts tenancy agreements, invoices and deposits.
Client Relations & Experience Management
- Manage hirer/tenant inquiries and ensure events are smoothly executed
- Manage hirers experience and ensuring AHL’s standards are met in all interactions and events.
- Provide on-site event servicing (on weekdays/ weekends / outside normal office hours)
Operations & Administration
- Use the event booking management system in a disciplined manner to manage venue hire calendar, perform billing, issue estimates and contractual documents, event details and track financials.
- To coordinate with Centre Head and the centre’s operations departments (facilities management, security, and cleaning staff) to ensure spaces meet expectations.
- Generate and distribute event orders for internal and external events.
- Keep an updated customer database and ensure accurate reporting of monthly utilisation figures for management reporting.
- Compile and submit reports/papers and assist in budget/forecast preparation.
Financial Management
- Perform executive billing efficiently.
- Follow up on outstanding debts and manage debt collection processes.
Others
- Assist with any other duties and responsibilities as assigned by the HOD and AHL Management.
Qualification
Education
- Diploma in Real Estate, Hospitality, Sales or relevant discipline.
- Possess strong interpersonal, communication and negotiation skills.
- Previous experience in venue hire or leasing operations is an advantage.
