Duties and responsibilities of the job

• Process accounts payable invoices matching and verifying with purchase orders, delivery Orders/goods receipts via Esker procurement system

• Ensure accounts payable invoices, petty cash and staff expenses claims are accurate and properly coded via Prosoft.

• Ensure GST recognition is incompliance with IRAS e-Tax Guide.

• Generates electronics (online) payments to vendors, ensure cheques are authorized and in line with Group Policy and processes.

• Verify vendor creation forms with necessary documents required for New Vendor creation in ERP system according to Group Policy.

• Prepare and update vendors’ reconciliation on a monthly basis.

• Handling and resolving internal and external vendors’ inquiries and issues.

• Clear and reconcile unallocated payments in ERP systems promptly.

• Ensures completeness of balance sheet schedule on a monthly basis including reconciliation of payments, monitor accounts to ensure payments are up to date.

• Assist in AP month end closing and annual audit schedule (AP related).

• Other ad-hoc duties as required and/or assigned.

• Proficient in accounting software and Microsoft Word and Excel.

• Have sense of urgency.

• Good time management and comfortable to work in fast-paced environment with high voluminous transactions to meet deadline.

Education and Experience

• LCCI/ CAT/ ITE in Accountancy.

• At least 1-2 year(s) of working experience in handling AP matters.

• Autoline system experience is an advantage.

Statement Of Purpose (Overall Purpose of Job)

To provide financial reporting and other duties.

Major Duties & Responsibilities

(A) Specific :

• Handle full set of accounts and prepare monthly management report on time.
• Review the work of accounts assistant and provide guidance to them.
• Manage the company cash flow by monitoring on the accounts receivables collection and liaising with the customers.
• Preparation of budget forecast for the company.
• Ensure all statutory and tax requirements for the company are met by liaising with various external parties such as auditors and tax agent.

(B) General :

• Ad-hoc reporting and analysis.
• Other duties as assigned.

(C) Safety:

• Follow the safety procedures, rules and regulations and eliminate or reduce hazard at the work place.

Job Requirements

(A) Education, Qualifications & Special Training :

• Diploma in Accountancy

(B) Knowledge & Skills :

• Proficient in Microsoft office and good communication skill.
• Pro-active, committed and good team player with effective inter-personal skills.

(C) Experience :

• Minimum 3 years financial-related experience.

Responsibilities:

• Prepare full sets of accounts for internal accounting function
• Prepare Variance Analysis, Accrual & Journal
• Support in preparing weekly / monthly reports quarterly, and Year-end closing of account
• Assist in preparation of financial reports
• Review of billings, payment & staff claim prepared by employees
• Assist in GST Filing and Tax submission
• Provide timely support in budget and forecast
• Ensure compliance with statutory and accounting requirements
• Inter Company reconciliation
• In charge of Inventory review/Stock count
• Overseeing company accounts, all financial activities and operations to improve company financial performances
• Ensure proper internal controls are in place and perform periodic review on the controls, working closely with other functional departments in the process of improving controls
• Other adhoc duties that may be assigned

Requirements:

• Diploma/Degree qualified in accountancy or equivalent
• Minimum of 1 year experience in a similar role
• Good communication and interpersonal skills
• Excellent MS office skills especially on Microsoft Excel
• Organised and meticulous
• Experience in using accounting software
• Ability to work independently with strong accountability

Job scope:

• Ensure the prompt and precise processing of invoices and expense reports.
• Perform reconciliation of accounts payable and receivable transactions.
• Generate and manage financial reports and documentation.
• Support the month-end closing process.
• Contribute to the preparation and tracking of budgets.

Key Responsibilities

• Ensure meticulous documentation of all financial transactions.
• Responsible for the full spectrum of Accounts Receivable, including monthly cash flow forecast.
• Accurately and promptly process Goods Return Notes.
• Coordinate the local cheque bank-in process and daily update of incoming funds to the NAV system.
• Timely update of customer accounts.
• Monitor and follow up with customers on overdue accounts and arrange for debt collection.
• Mailing Statement of Accounts to customers and responding to their inquiries.
• Monitor and report on monthly/weekly Debtors aging.
• Prepare Journal entries for accruals and other adjustments.
• Prepare monthly and year-end Balance Sheet schedules.
• Collaborate with internal and external auditors.
• Identify opportunities for strengthening current processes and suggest improvements.
• Undertake additional responsibilities as assigned.
