• Prepare delivery orders, packing list and invoices to ensure a smooth delivery.
• Maintain contact with delivery drivers and to report any breakdown to supervisor for contingency plan.

Duties & Responsibilities:

• Handle booking and arrangement for travel enquires and request from JTB LOOK, Media, Optional Tour and/ or any other channels which comes through phone calls & emails, and provide the necessary planning, quotation and operations support
• Provide recommendation of hotels, restaurants and transportation base on customers’ requests & interests
• Translating documents; Japanese itinerary into English itinerary & prepare the handout accordingly
• Provide information on travel visa & requirements
• Handle travel operations including reservations, standby at the hotel and/or assigned venue to ensure smooth tour arrangement
• Manage Inhouse system including new registration and operations
• Site inspection to the local travel attractions
• Provide local Tour escort during the peak season
• Any other ad-hoc tasks that may be assigned by the Company from time to time

Experience & Skill-set required:

• Work experience in Tourism or Hospitality industry is advantage
• Fluent in both English & Advanced Business Japanese language skills is essential as well as proper business communication & written skills to liaise closely with Japan land operators, local Japan sales office & tour arrangement
• Knowledge of MS Office

• To coordinate orientation and briefing for the junior doctors of the department as well as to maintain their assessment records.
• Maintain the duty roster, upkeep leave, allowance and claims records of the staff.
• Provide support to the training for medical students which will include the preparation of materials, coordinate attachments and tracking of teaching hours.

Job Responsibilities:

1) Process – Process end-to-end payroll for an organisation with a headcount of 500 or more, including but not limited to, pro-ration of salary for new hires and resignees, submission of monthly CPF and refunds, submission of NS and Government Paid Leave claims, processing transport/dental claims from employees, ensuring accuracy of bank details and timely submission of bank files, providing payroll GL to the finance team for reconciliation, filing of IR21 for foreigner resignees and annual IR8A, etc.

2) Coordinate – Correspond with HR business partners to retrieve data and inputs necessary for relevant pay elements.

3) Investigate – Report data inaccuracies in payroll systems and report to managers and clients for advice. Highlight and recommend improvements and solutions to enhance operational efficiency and effectiveness.

4) Audit – Maintain a secured archival of payroll files to support annual and ad-hoc audit exercises.

5) Communicate – Provide clear and concise responses to any queries raised through email by employees and/or clients in a professional manner to achieve positive customer experience.

Requirements:

1) Minimum ‘A’ Levels or Diploma
2) Minimum 3 years of experience in end-to-end payroll and/or claims processing, preferably with knowledge of SAP or Excelity systems
