Job Purpose

The Facility Manager is responsible for overseeing and managing the maintenance, security, and operations of the company’s facilities. This role ensures that the buildings, equipment, and systems meet regulatory standards and are maintained to promote a safe, efficient, and productive working environment.

Key Responsibilities:

1. Facility Maintenance and Operations

• Oversee the maintenance of HVAC, electrical, plumbing, and other building systems.
• Conduct regular inspections to ensure facilities are in excellent condition and adhere to safety and regulatory requirements.
• Manage facility-related contracts and service agreements, ensuring timely and cost-effective delivery of services.

2. Vendor and Contractor Management

• Evaluate and select external vendors for facility services.
• Supervise contractors during repair and maintenance projects, ensuring work quality and adherence to deadlines.

3. Budget and Cost Control

• Develop and manage the facility management budget, ensuring optimal allocation of resources.
• Identify cost-saving opportunities while maintaining operational standards.

4. Health and Safety Compliance

• Ensure facilities comply with health, safety, and environmental regulations.
• Conduct regular safety drills and training sessions to enhance workplace preparedness.

5. Space Planning and Management

• Plan and optimize the use of available space to meet business requirements.
• Collaborate with internal teams to support moves, renovations, and expansions.

6. Emergency Preparedness and Response

• Develop and implement emergency response plans, including fire safety and evacuation procedures.
• Respond to facility emergencies promptly, coordinating necessary actions to resolve issues

7. Team Leadership and Collaboration

• Lead a team of facility management staff, providing guidance, training, and performance evaluations
• Collaborate with other departments to ensure the facility supports organizational goals.

Qualifications and Skills:

Education and Certifications:

• Bachelor’s degree in Facility Management, Engineering, Business Administration, or related fields.
• Certifications such as Certified Facility Manager (CFM), Facilities Management Professional (FMP), or equivalent are highly preferred.
• Further Training: Managing WAH, Bizsafe L2, CSCPM

Experience:

• Minimum 5 years of experience in facility management, with a proven track record in managing large-scale facilities.
• Experience in budgeting, vendor management, and project coordination.
• Mobility : As when needed

Technical Skills:

• Strong understanding of building systems, including HVAC, electrical, and plumbing.
• Familiarity with facility management software and tools.
• Knowledge of local health, safety, and environmental regulations.

Job Summary

Support Finance Lead to manage company Accounts Receivable & Accounts Payable. Other responsibilities include Inventory/Fixed Assets Management and other ad-hoc administrative work

Responsibilities

Accounts Receivable

• Raise tax invoices and credit notes in the company’s accounting system
• Reconcile A/R balance on a regular basis; monitor and chase long overdue debts with relevant parties
• Update client accounts based on payment or contact information

Accounts Payable

• Verify and input suppliers’ invoices/payments in the company’s accounting system
• Process payments on a timely basis
• Reconcile A/P balance on a regular basis
• Reconcile petty cash disbursements

Inventory/Fixed assets

• Inventory management, investigating discrepancies
• Resolve inventory issues, inventory levels, obsolescence, disappearance
• Periodic stock-taking and preparation of inventory report
• Manage fixed assets activities and ensure all assets are accountable

Ad-hoc Administrative work

• GST and other statutory reporting
• Bank reconciliation
• Maintain a full set of accounts and produce monthly consolidated reports
• Liaising with external auditors during the annual audit and preparation of draft audited accounts
• Assist in the preparation of annual and revised budget
• Ad-hoc Task

Skills & Qualifications

• A degree in Accounting

Clinic Manager duties:

* Supervise a team of Clinic Assistants to ensure smooth and efficient operations at our GP clinic

* Maintain consistent protocols for various tasks such as patient registration, queue management, medication dispensing, invoicing and payment collection, claim submission, drug inventory management, and general cleanliness

* Manage medication, supplies, and equipment by overseeing orders and conducting stock taking

* Manage the financial and administrative aspects of the clinic, which involves organising files and information, as well as maintaining accurate records of petty cash and billings

* Coordinate schedules for Clinic Assistants and Doctors
