Seeking for an Executive Assistant (Healthcare Setting)

Working days: Monday- Friday, Office Hours

Location: Central/ Novena

Job Scope :

• Administrative Support: Provide clerical, secretarial, and general administrative support to the department and staff.
• Staff Information Management: Maintain and update doctors’ and department staff information in the Employee Master Database and staff directory.
• Record Management: Maintain records of staff signature specimens and ensure all department records are current and accurate.
• Roster and Leave Management: Maintain and update monthly leave and duty rosters on the company's messegging system messaging
• Conference and Claims Coordination: Coordinate conference paperwork, follow up on claims for individual doctors, and submit events for SMC approval.
• Consultant Claims: Submit monthly claims for doctors serving as Visiting Consultants at Restructured Hospitals and Health Science Authority.
• Doctor Assessments: Assist with SMC assessments for Conditional and Temporary registered doctors and facilitate claims for Medical Malpractice Insurance.
• Training Hours and Documentation: Submit monthly AST/BST training hours and update People Developer Standard files.
• Learning Needs Analysis: Ensure timely submission of the department's Learning Needs Analysis electronically.
• Logistics and Meetings: Book and set up meeting rooms for departmental meetings, journal clubs, and other training activities.
• CME Accreditation: Apply for Singapore Medical Council CME accreditation points on behalf of department doctors.
• Inventory and Supplies: Maintain department inventory for stationary and equipment, ensuring adequacy and availability.
• Communication and Mail Handling: Handle internal and external communications, dispatch documents, collect cheques/petty cash, and manage the department’s contact list.
• Medical Records: Trace and manage the movement of case notes for reports, audits, and research, ensuring timely return and submission.
• Support for Medical Students and MOs: Coordinate medical student postings and MO assessments, manage education materials, and update records for MOs' postings.

Job Requirements:-

• Min GCE "O" Level & above
• Proficient in Microsoft Office Application
• Posses excellent coordination skill
• Good communication skills in both oral and writing
