• Greeting and handling both local and international visitors (including delivery of items to the office); determine nature of business, and announces visitors to appropriate officers;
• Answering incoming telephone calls/general enquiries; determining purpose of callers, and forwarding calls to appropriate officers or divisions;
• Issuing keys for a suite of meeting rooms;
• Ensuring the reception area and meeting rooms are well kept (e.g. ensuring the meeting rooms have beverages);
• Other front desk tasks as and when required.
• Ensure meeting room facilities are setup and functional before the start of a meeting;
• To activate back-up plan upon equipment failures for the meeting rooms and reception areas (i.e Door card access, AV equipment failure);
• Liaise with the senior management’s personal assistants and Corporate Services Branch closely for meeting room matters;
• Act as lost and found counter for the Corporate Office and diligently records and track all lost and found items;
• Participate in Business Continuity Plan Exercise and Peacetime Crisis Management operations as registration;
• Coordinate with vendors and services on facilities maintenance etc..

WORKING HOURS

• Standard Working Hours: Mon - Thur, 8.30am to 6pm. Fri, 8.30am to 5.30pm
• Service not required on Saturdays, Sundays and gazetted public holidays)

JOB REQUIREMENTS

• Computer literacy with experience of using e-mail (MS Outlook), MS Word and MS Excel;
• Demonstrate excellent organizational, coordinating and personal interface skills
• Ability to work under minimal supervision;
• Pleasant character/personality with the ability to project a professional image for the organization; comfort and experience interfacing with various levels of officers and management, while working in a fast-paced environment;
