A*STAR is spearheading a series of Strategic Research & Translational Thrust (SRTT) that harnesses its multidisciplinary expertise to undertake a focused research mission. Operating as a cross-A*STAR initiative, SRTTs are geared at delivering impact and outcomes in specific thematic areas. Led by the A*STAR Research Office (RO), SRTTs will be actively managed where the SRTT Programme Directors and research team members will be provided dedicated central support.
Under the newly established Central Initiative Administration (CIA), A*STAR is recruiting a Senior Associate/Assistant Manager for Administrative Support for all RO and SRTTs activities.
Roles and Responsibilities:
Reporting to the SRTT Director Corporate Services (DCS) to support the RO and SRTTs administrative activities, the role includes but not limited to:
1. General Administrative Support:
- Provide day-to-day administrative support.
- Handle correspondence, prepare documents, and manage office communications.
- Handle Procurement / Finance related matters, e.g., Raise budget memo for approval, raise purchase requests, goods receiving etc.
- Perform filing, data entry, and maintenance of office records.
- Any other administrative duties assigned.
2. Calendar Scheduling:
- Manage and coordinate calendars for RO, SRTT CIA and SRTT Central Initiative Directorates (CID) based on event requirements.
- Schedule meetings, appointments, and conference calls.
- Resolve scheduling conflicts and ensure timely reminders.
3. Travel Arrangements and Booking:
- Book flights, accommodations, transportation, and other travel-related services for work trips for visiting scientists, Advisory board members, senior management and staff.
4. Event Organization and Logistic Support:
- Support in the planning and organization of events, meetings, and conferences for all RO and SRTT activities.
- Provide logistic support for events, including registration and ushering.
- Coordinate the setup of event venues, manage attendee lists, and any other required tasks to ensure a smooth flow of activities.
Job Requirements:
- Degree, any discipline with at least 5 years of professional experience in an administrative or office management role.
- Able to leverage on digital dashboards for monitoring and tracking (Power BI, tableau etc.) will be a plus.
- Good communication (written and verbal) and interpersonal skills for good relationship management.
- Good analytical and problem-solving skills, resourcefulness, attention to detail, and good team player.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and able to present information in a logical manner.
