Overview
Reporting to the Global Event and Tradeshow Manager, the Asia Pacific Event and Tradeshow Coordinator II role is responsible for ensuring that the Asia Pacific events strategy is implemented by working with key stakeholders on planning and executing assigned events in Asia Pacific.
Responsible for managing their own events, through production from conception to completion. Drive and manage customer engagement and attendance at planned Association and Bio-Rad led events including exhibitions, workshops, seminars, and webinars. These events are held in Asia Pacific countries and are an integral part of the marketing plan. This position will primarily plan projects, manage the event, compliance cases, booking of events with Associations and/or venues, managing the stand design, associated collateral, build and services, coordinating all event requirements and, managing and implementing of pre and post- event marketing. This position will work with internal stakeholders and vendors to ensure that events are organized within agreed budgets and time schedules. This position will also manage all aspects of pre and post-event promotional campaigns, both in person and virtual, involving design and deployment in printed and web platforms. The position will involve traveling to some events to manage the setup, coordination of practical arrangements and dismantling.
How You’ll Make an Impact:
Event Coordination & Management
- Organize customer events within budget – this includes in-person (trade shows, seminars, etc.) and virtual events (e.g., webinars, on-line meetings, etc.)
- Manage the organization of the annual sales meetings and other significant internal meetings and programs as required.
- Coordinate activities, resources, roles, and responsibilities:
- Securing and booking a venue or location
- Booth design (where required)
- Booking and coordination of all related event activities (symposiums, meetings, lunches)
- Fulfillment of marketing materials
- Coordinating staffing requirements and staff briefings
- Planning and coordinating with digital providers for virtual events.
- Manage event vendors including:
- Exhibition stand designers and builders
- Event organizers / venue coordinators
- Ensure KPIs are set for each event and aligned for event success
- Ongoing budget management for each event and final event reconciliation
Manage event compliance processes
- Ensure all events are approved compliant internally and with external governing bodies where applicable.
- Submit speaker related cases to compliance.
- Coordinate the compliance processes in line with internal polices
Pre and Post Event Promotional Marketing
- Planning and implementation of all promotional activities including:
- Direct marketing: emails and postal mailings
- Social media
- Posters
- Bio-Rad web content (events and promotions pages)
- 3rd party websites
- Print advertising (including event publications)
- Liaise with design team to produce necessary physical assets, collateral and materials for the booth, banner stands, posters, graphic panels.
- Adopt best practices to:
- Maximize customer engagement
- Maximize customer attendance
- Improve customer experience
- Gather customer feedback
- Monitor, measure and report:
- Monitor and report on event KPIs
- Qualitative feedback
What You Bring:
- Minimum 5 years' experience of event coordination in an international environment, preferably in Asia.
- Ability to plan, organize resources, monitor and execute events
- High influencing skills
- Fluent in English oral and written skills
- Excellent organizational skills and attention to detail. Able to work well under pressure, ensuring the smooth and efficient running of an event.
- Excellent project and timeline management skills. Able to prioritize, multi-task and manage multiple projects to deliver measurable results.
- Strong interpersonal skills to engage stakeholders and tap on resources across matrix teams from global, regional and local
- Knowledge of promotional marketing mix
- Computer literate, knowledge of MS Office, Good knowledge of Word, Excel, and PowerPoint. Knowledge of SAP or similar financial systems.
- Must be prepared to travel
