Key Duties & Responsibilities
Venue Operations
- Support the Sales team with client site visits and walkthroughs.
- Upkeep the venue and perform scheduled checks on venue facilities.
- Build a network of suppliers, contractors and part time/casual labour for ad hoc venue maintenance and event support tasks.
- Serve as the point-of-contact for all contractor(s) and supplier(s) entering and/or working within the venue (e.g. deliveries, maintenance, waste management, etc.), as well as the SLA-appointed security company during their daily security checks.
- Collaborate with the Executive, Venue & Tours to maintain a shared system / and manage document(s) highlighting venue key venue dates (internal & external events, venue works, etc.) accessible to stakeholders, ensuring smooth access and operations for stakeholder outdoor works.
- Partner with the internal Production / Tours team where necessary to ensure smooth venue production operations.
- Oversee the appointment of mobility service provider and manage venue’s 3rd party valet service provider as required.
- Ensure the daily opening (unlocking) and closing (locking) of the venue.
- Manage the 3rd party cleaning service contract.
- Understand and manage the venue’s Fire Safety matters.
· Initiate venue SOP and indemnity where needed. Oversee the adherence to workplace safety within the venue and manage the venue SOP.
- Occasionally, provide additional operational assistance to the Management / Tours team.
Event operations (external hirer)
- Collaborate with the Sales team in the lead-up to hirers event, overseeing the official handover and return of venue with hirer.
· Ensure the hirer is informed about all venue processes and operating matters including, but not limited to load-in and load-out procedures, approved venue routes, parking arrangements and the deployment of cleaners, security and CERT by the hirer.
· Oversee set-up and manage all operational aspects, from logistics and scheduling to on-site coordination, and troubleshoot any issues during events.
· Document the handover of the venue and check upon the return of venue to ensure it is reinstated to its original condition.
· Inform venue sales and admin of any charges to be deducted from the security deposit or any additional charges if damages exceed the deposit value or if there are additional hours of venue usage.
· Work closely with the appointed Production team to ensure bookings can be accepted and fulfilled and collaborate effectively with different departments to achieve the best outcome for the hirer when required.
