What you will be working on?

Attend regular meetings with creative team including choreographers for different performing items;
Understand the concept of the different items and propose suitable ideas;
Assist Production Managers to plan schedule for filming, rehearsals and logistic matters;
Assist with music and filming recordings at studio;
Assist with production of content for videos and/or webcast including sourcing and collation of materials, pre-recording of performances and other preparations support;
Work with Production Manager, Site Management, Sound / Lighting / Effects team to ensure smooth rehearsals and shows;
Take on liaison duties with multiple participating groups during events and their rehearsals;
Perform administrative duties pertaining to participating groups before and after event;
Coordinate with the participating groups on the rehearsals, music, costumes, props, floats, structures and other logistical items;
Co-ordinate and manage volunteers assisting as parade production crew
Take on the role as the key personnel to manage the performing area during rehearsals & parade/show days
Assist in doing up PowerPoint Slides such as the concept, formation and important information;
Assist in note-taking of meetings;

What are we looking for?

Singaporean only
Minimum Diploma in Event Management/ Art Management or relevant discipline.
Proficient in written & spoken Mandarin to vet emcee's script.
Due to the nature of events, any work outside of office hours would be compensated with OT/off-in-lieu accordingly.

About the Role:
We are looking for a detail-oriented and capable Event Management Officer (EMO) to assist in managing events and visitor experiences at a gallery and venue. The EMO will be responsible for ensuring the smooth execution of events, conducting site recces, coordinating logistics, and managing VIP and VVIP visits. This role requires flexibility, as the EMO will be required to work on weekends or after office hours, as per event needs.

Key Responsibilities:

● Assist in the daily operations of event spaces, including conducting site recces and overseeing event setups and teardowns.

● Be present on-site during events to ensure smooth operations.

● Assist in managing VIP and VVIP visits, ensuring that all activities are executed seamlessly.

● Handle enquiries related to events and visitor experience activities.

● Conduct monthly inventory checks and manage replacement of event-related items.

● Work closely with the Board and the event team to ensure all instructions and requirements are met.

● Follow and update safety protocols for events as required.

Job Requirements:

● Minimum of 1 year of experience in event management or a related field.

● Diploma qualification in Engineering, Facilities, or Event Management.

● Obtain First-Aid and AED certification within two months from the start of deployment.

● Strong communication and organisational skills with the ability to work independently.

● Willingness to work weekends, after office hours, and as required for events.

Contract Details:

● Job Commencement Date: 1st January 2025.

● This is a contract-based position.

● The contract terms, including salary and benefits, will be discussed during the interview process.

Additional Information:

● The EMO will report directly to the Board and will be part of the Events and Visits team.

● Transport allowances can be claimed if working hours start before 7am or end after 10.30pm.

● The EMO will only be entitled to claim off-hours for work on weekends or after office hours unless otherwise agreed in writing by the Board.

Remuneration Package:

● From $2500 per month

What you will be working on?

Work with PR agency to formulate a media engagement and publicity plan for programmes to garner media interests and promote positive awareness branding.
Assist in the management of Non-Digital Media Buy such as advertising on TV, Radio, Out-of-Home publicity, etc.
Assist in conceptualising and development of possible creatives for event collaterals, branding visual, publicity kit etc
Assist in project management including planning, organising resources and execution of programmes/events.
Liaise with vendors on purchases/services required, both internal and external
Assist in procurement and monitoring delivery of goods and services.
Assist with the documentation, collation and analysis of data, and generation of project reports and presentation slides, if any
Provide logistic support and manage event productions, both pre and post, including working outside office hours
Provide administrative and secretariat support, including arranging meetings, securing of meeting venues and taking notes during meetings.
Quality control of on-site execution of programmes and capture learnings from the project for sharing at project After-Action Review (AAR)

What are we looking for?

Singaporean only
Minimum Diploma in Event Management/ Marketing/ Communication or relevant discipline.
Prior experience in publicity or design would be advantegeous.
Due to the nature of events, any work outside of office hours would be compensated with OT/off-in-lieu accordingly.
