Job Description:

• Support the planning, management and operations of multiple projects, not limited to events, exhibitions and installations.
• Work closely and cohesively with the Account Servicing team to ensure concepts and proposals approved by clients are turned into reality.
• Liaise and negotiate with stakeholders (not limited to suppliers and contractors) for quotations, and assist in the procurement process.
• Conduct site inspections and measurements.
• Apply for all relevant licenses and permits required with relevant authorities.
• Prepare pre-event planning documents and coordinate with all stakeholders (not limited to suppliers, contractors and venue owners) to facilitate a smooth pre-event setup.
• Provide on-site operational support and manpower management.
• Support and manage event setup to facilitate the delivery of a high quality event.
• Conduct pre-event and on-site quality control on all event production matters and deliverables by relevant stakeholders.
• Manage the transportation and delivery of all equipment and event assets, including the proper accounting of such items.
• Manage and coordinate post-event teardown matters, including the reinstatement/return of venue to its original state.
• Manage event operations and production budgets.
• Plan and source for the necessary resources to support the pre-event planning, on-site event execution and coordination to support the delivery of a successful event.

Requirements:

• Candidate must be a team player and possesses the ability to work independently with minimal supervision.
• Candidate must possess a keen interest in event operations and production (not limited to Audio-Visual, props fabrication and IT).
• Candidate must be a good negotiator and is able to articulate ideas effectively
• Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree in Event Management, or equivalent
• Candidate should have a good command of English Language (written & spoken)
• Required skill(s): Google Suite / MS Excel / Word / Powerpoint
• Knowledge in Adobe Photoshop/Illustrator or AutoCad would be an advantage
• Prior experience (including part-time) in Event operations and productions would be a plus for this position

JOB SUMMARY

Responsible for preparing and managing sales quotations, compiling sales reports, assisting in customer inquiries, and maintaining sales & customer databased. This position will play a vital role in ensuring that the events are executed smoothly and efficiently, providing crucial on-site support when needed.

What you'll be doing

• Prepare, manage and facilitate sales quotations in alignment with client requirements
• Compile, manage and maintain relevant sales documentation, ensuring accuracy and completeness at all stages of the sales process
• Maintain and oversee all sales billing, ensuring timely and accurate invoicing for clients.
• Prepare and facilitate comprehensive sales reports to assist in sales tracking, monitoring and follow-up
• Utilize sales reports to identify trends and opportunities for improvement within the sales processes.
• Actively assist and attend to customer inquiries, providing timely and helpful responses to generate and nature sales leads
• Proactively manage, update and maintain the sales and customer database to ensure all records are current and comprehensive
• Maintain an up-to-date overview of project budgets, ensuring expenses are tracked and recording all billing information
• Coordinate with different departments to ensure seamless communication regarding budget constraints and allocations.
• Perform general office administrative duties, including but not limited to filing and data entry.
• Support event planning and execution through effective space management, logistics coordination and other related tasks
• Provide on-site support during events, ensuring all aspects are in place and functioning as planned
• Set-up for event registration & management and support on-site registration
• Communicate effectively with clients, vendors and other stakeholders to resolve any issues that arise during events

What we're looking for

• Diploma in Business Administration, Event Management, Sales, Marketing or a related field or equivalent experience preferred
• Experience in a sales support or event coordination role is highly desirable
• Strong organization and multitasking skills, with an ability to prioritize and meet timelines
• Excellent communications skills, both verbal and written, with a strong emphasis on customer service
• Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
• Strong attention to detail and a proactive approach to problem-solving
• Ability to work independently as well as collaboratively within a team environment

Department: Student Life, Alumni, Outreach, and Communication (SLAOC) Team

Key Responsibilities

• Oversee logistics for events organized by the School of Social Sciences.
• Compose email communications to alumni regarding activities and events.
• Manage databases for Outreach and Alumni.
• Inform students about the Work-Study Scheme processes.
• Identify and source vendors and venues for corporate gifts, marketing materials, and sponsorships for Alumni Events and Student Clubs.
• Coordinate with vendors to arrange appointments, handle inquiries, and manage procurement and delivery of items.
• Maintain a comprehensive database of physical corporate giveaways for the Student Life, Outreach, and Alumni teams.
• Conduct general marketing activities, including creating electronic direct mail (EDM) using design software.
• Provide administrative support, including scheduling appointments, preparing correspondence, arranging courses, and processing payments related to Alumni and Student Life programs.

Requirements

• Bachelor’s degree with 2-3 years of relevant administrative experience, preferably with a background in digital marketing or event management. Diploma holders with relevant experience will also be considered.
• Familiarity with Sitefinity CMS and WordPress is preferred.
• General proficiency in tools such as Mailchimp, Brevo, Adobe Suite, and Canva is advantageous.
• Willingness to support beyond regular working hours and on weekends due to the nature of the work.
