Procurement and Logistics Executive specializing in Procurement, Import and Export shipments plays a crucial role in managing the purchases of the organisation and international movement of goods. The candidate to ensure compliance of procurement policy, logistics regulations and optimizing transportation and logistics operations. Effective communication and collaboration with forwarders, suppliers and internal stakeholders are the key success in this role. This position reports to the Procurement Manager.
Procurement
- Responsible for the smooth & efficient operations of Purchasing and the company.
- Ensure all purchases for Projects and Shared Services are from qualified / approved suppliers and in compliance with the Purchasing Policies.
- Coordinate with project personnel on Project / Shared services procurement activities, while meeting delivery, lead-time and specification requirements.
- Issuance and Process of Purchase Order daily.
- Responsible for maintaining all Purchasing Documents.
- Duly expediting and tracking progress of all Purchase Orders.
- Ensure timely and correct delivery of goods and services.
- Monitors and proactive managed past due Purchase Orders.
- Generate Open Purchase Order Report, Review, update and maintain Open Orders till closed.
- Perform Goods Valuation Note (“GVN”) in system.
- Work closely with Business Unit (“BU”), Project, Warehouse, Logistics and Finance on all related matters.
- Established Price List / Agreement / Contract with suppliers.
- Handle Good Return to suppliers by liaising with the relevant stakeholder.
- Negotiate with suppliers for improved Payment / Credit Terms and Cost Savings.
- Review General Terms and Conditions and provide comments to the deviation list submitted by the vendors.
- Continuous Improvement for Best Practice.
- Backup / Coverage on Procurement activities for Procurement Personnel who is / are away for leave.
- Provide support to the Purchasing department if necessary.
- Any other Ad-hoc duties as assigned by the Procurement Manager.
Logistics
- Ensure that all import and export activities comply with customs regulations, including proper documentation, duties, and tariffs. Work with customs brokers or agents to facilitate smooth clearance through customs.
- Communicate with suppliers and vendors to coordinate the shipment of goods, including scheduling, packaging requirements, and documentation. Ensure timely delivery of products to meet production or customer demands.
- Collaborate with freight forwarders and logistics service providers to arrange transportation, including selecting the appropriate carriers, negotiating rates, and monitoring the performance of forwarders.
- Review all necessary import and export documentation, such as bills of lading, commercial invoices, certificates of origin, and import/export licenses. Accuracy and completeness of documentation are critical to avoiding delays and compliance issues.
- Plan and coordinate the transportation of goods, including selecting shipping methods (e.g., air, sea, road) based on cost, transit time, and product characteristics. Optimize transportation routes to minimize costs and transit times.
- Identify and mitigate risks associated with import and export activities, such as transportation delays, customs issues, or damage to goods. Develop contingency plans to address potential disruptions.
- Stay up to date with import and export regulations and trade compliance requirements. Ensure that all shipments adhere to international trade laws and regulations.
- Maintain clear and timely communication with internal teams, suppliers, forwarders, and customs authorities. Provide regular reports on shipment status, transit times, and any issues or exceptions.
- Address and resolve any issues related to import/export shipments promptly, such as customs delays, damaged goods, or transportation disruptions.
- Continuously assess the performance of freight forwarders and logistics partners, considering factors like reliability, cost-effectiveness, and customer service.
- Determine the correct tariff classifications for imported and exported goods to calculate duties and taxes accurately.
- Take advantage of trade agreements and preferential trade programs that can reduce tariffs and trade barriers for specific products and countries.
- Any other Ad-hoc duties as assigned by the Procurement Manager.
Requirements:
- Diploma/Degree in relevant or related fields for Procurement and Logistics.
- Min 5 years of work experience in Water Treatment Industry preferred.
- Experience in Project Procurement and contract management environment preferred.
- Good Communication skills for both verbal and written.
- Proficient in MS Office. E.g., Word, Excel, PowerPoint.
- Experience in Globe 3 system preferred.
- Good Team Player. Able to cooperate as a team.
- Speedy and Meticulous in execution of work duties with minimum or zero errors.
- Pro-active, flexible, adaptable and a fast learner in a demanding work environment.
- Positive attitude and hardworking.
- Willing to go the extra miles to get things done.
