Summary of Responsibilities:

• Ensure the PO Team creation of Article Codes/Price Quote and Vendors details are updated accordingly in the system and assist if needed.
• Response swiftly to feedbacks/complaints/ no stock situation etc (from end users/suppliers/guest)
• Request for quotations as well as samples for evaluation
• Handle RFQ as well as RFP exercises for all categories of Supplies including Services
• Tabulating of Price Summary and recommendation of award for various work streams that are assign to
• Assist in report analysis in preparation for new work stream 
• Assist in Contracting process
• Ensure forms and documents are properly filled for all Procurement processes
• Follow up closely on outstanding Purchase Orders that are long overdue and if needed for cancellation
• To carry out any other duties as required by the Director of Procurement/Procurement Manager from time to time

REVIEW OF CAR (CORRECTIVE ACTION REPORT) FROM FOOD SAFETY

• Ensure Corrective Action Report are sent out immediately to Suppliers should a complaints raised by Food Safety
• Ensure substitution of supplies are replace immediately for operation use
• Ensure Suppliers that works with the hotels are Food Safety compliances
• Ensure Suppliers approved Vendors are SFA approved & meet the grade criteria
• Ensure all food/beverage licenses and certificates approved by authorities are valid

COST MANAGEMENT

• Assist in developing and implementing cost-saving initiatives without compromising quality or service.
• Analyze spending patterns and identify areas for potential savings or optimization
• Participate in budgeting and financial planning processes related to procurement activities.

COMPLIANCE AND DOCUMENTATION

• Ensure compliance with relevant laws, regulations, and company policies in all procurement activities.
• Maintain accurate records of procurement transactions, contracts, and supplier agreements.
• Assist in conducting periodic reviews and audits to ensure adherence to procurement policies and procedures

CROSS-FUNCTIONAL COLLABORATION

• Work closely with various departments and business units including Operations, Receiving and Finance to understand their needs and priorities.
• Collaborate with stakeholders to develop procurement strategies that support the hotel's overall objectives.
• Communicate effectively with internal teams to provide updates, gather feedback, and address concerns related to procurement.

Qualifications:

• Candidate must possess at least Diploma/Degree or equivalent 
• Minimum of  3 years of relevant experience in the hotel industry
• Strong knowledge in Food & Beverage categories and suppliers. 
• Strong working knowledge on Negotiation and Procurement Policies
• Proficiency in Microsoft Office Suite and experience with procurement software or ERP systems.
• Ability to multitask and prioritize tasks in a fast-paced environment.

• Creation of article codes, price codes and vendor details are updated in the system.
• Sending out the Corrective Action Report (CAR) immediately to suppliers should a complaint be raised by Food Safety.
• Maintain files of catalogues and descriptive literature on all Hotel equipment and supplies and quotations/competitive bids from all suppliers.

• Project management support for joint projects with Customers as well as internal projects

Requirements:

• Degree in Logistics / Supply Chain Management preferred.
• Minimum 3 years experience in Operations Management
• High proficiency in Excel. VBA, Access, SQL, PowerBI skills will be an advantage
• Must be highly motivated and able to supervise headcount of more than 10 and manage relationships with all levels of staff and customers
• Have excellent verbal, written and presentation skills

Job Descriptions

The Store Manager oversees the entire operations of a store. S/he is responsible for driving the store's sales performance and service performance. S/he also engages in innovation and productivity initiatives for the store. S/he is responsible for developing business opportunities, managing the operational and service excellence plans.

In order to drive seamless customer experience across channels, the Store Manager oversees the order fulfillment processes for customers in store. Operating in a fast-paced, diverse and customer-centric store environment, the Store Manager is a resourceful, driven and a service-oriented leader who is able to multitask and manage store operations effectively. S/he also possesses strong people management skills and is able to engage with management and key stakeholders.

• Strategise and develop execution plans for the team to deliver brand, sales and service goals and targets
• Collaborate with management to develop budget and evaluate business financial performance regularly.
• Build a CRM programme for the team to establish rapport and cultivate relationships with customers.
• Monitor merchandising presentation and visual display
• Develop and ensure follow-through on a service recovery framework for crisis management
• Ensure business continuity management in retail operations
• Supervise, train and plan succession for employees in customer service, interior styling, sales, service and visual merchandising.
• Maintain proper inventory levels, ensure stocking, implement purchasing plans and maintain contact with suppliers to ensure maximum efficiency in meeting sales goals.
• Manage all controllable costs with a view to maintaining profitability.
• Work with back of house team including Marketing to ensure the smooth running of store operations and campaigns
• Assist in researching and developing market opportunities and plans, understand market requirements, identify market trends
• Ensure the store remains clean and presentable at all times.
• Hire and train as needed to ensure adequate personnel is on hand to provide outstanding customer service.

Job Requirements

• Diploma or Degree in Business Management, or any related field
• 3 – 5 years of retail experience
• Proven track record of attaining sales target, success in strategic planning and problem solving
• Engaging, positive and motivating communication skills
• Customer-focused with strong communications and interpersonal skills
• Strong leadership and organizational skills
• Knowledge of retail management and procedures
• At least 2 years of experience in managing a team
