THE MISSION?

Job Description:

• Purchase products and tools to assist with cleaning and landscaping operations
• Ensure products are of competitive pricing with the best quality
• Assist with purchasing budget to ensure sufficient supplies are always available
• Review existing suppliers, source for new suppliers and negotiate contracts while building good working relationships with suppliers
• Analyse current budget and expenses to ascertain where improvements can be made
• Maintain all documentation of purchases and prepare reports as requested by management, ensure all information is filed properly and made available when needed
• Highlight any significant differences in pricing
• Facilitate with procurement to ensure timely delivery of products

Job Requirements:

• 1 - 2 years of experience as a purchasing officer / executive
• Some experience sourcing for suppliers and negotiating pricing
• Has some experience using purchasing software
• Ability to develop and maintain good working relationships with internal and external stakeholders
• Strong verbal and written communication skills
• Highly organised and meticulous

Join our dynamic and growing team as a Purchasing Intern, where you'll play a pivotal role in supporting key initiatives in purchasing and gaining hands-on experience in various aspects of supply chain operations.

Key Responsibilities:

Pricing Reviews:

·       Assisting in the R&D of new projects by conducting data gathering and research at the conceptual stage.

·       This involves comparing various technologies to determine which ones meet our requirements and evaluating their pros and cons (such as price, technical maturity, and supplier availability).

Supplier Engagement Experience:

When led by a seasoned purchaser, there will be opportunities to visit local supplier factories/premises, which will provide you with:

·       Insights into negotiating prices effectively.

·       Understanding of methodology for enhancing quality control.

Manufacturing Insight Visits:

Occasional visits to our collaborative factories in Malaysia, which will provide opportunities to:

·       Gain insights into inventory management and optimization practices within the factory (Including stock-take).

·       Understand the utilization of equipment in electronics manufacturing, production processes, and the assembly of components into finished products, offering an overview of how electronic factories operate.

Skills & Requirements:

·       Pursuing a Diploma in Supply Chain, Business Systems, or a related field.

·       Strong analytical and problem-solving skills.

·       Meticulous attention to detail is essential for this role

·       Proactive and able to work independently in a dynamic environment.

·       Eagerness to learn and contribute in a fast-paced environment.

·       Proficiency in Microsoft Excel and other relevant Microsoft Office tools.

·       Basic understanding of ERP systems and related principles will be an added advantage

Role & Responsibilities

- Preparation of Purchase Orders to Vendors

- Creation of Item Codes in ERP

- Daily updates in Enterprise Work Management Platform (Asana)

- Daily checking of stock request

- Preparation of weekly reports for operation

- Receiving of goods from vendors and checking on quality issues

- Housekeeping of the nursery and office

- Participate in pre-sales activities to wholesale customers via communication platforms such as WhatsApp and Instagram

- Provide after-sales services to wholesale customers such as preparation for delivery, self-collection and payment receipts from wholesale customers

Qualification and criteria

- Able to speak read and write in English

- Carrying of small and medium sized plants required

- No plant experience is required

- Proficient in Microsoft Office

- Negotiates and coordinates with suppliers. Responsible for purchase administration, order processing and delivery follow up.

- Sourcing of hardware, accessories or any other products and ensure compliance to the specifications as required, competitive price, quality products and timely delivery

- Ensure on time delivery of goods from vendor and to coordinate with production for any possible extrusion, hardware shortage for coming production.

- Work closely with internal departments, including overseas vendors. Shipment arrangement and liaise with forwarders.

- Resolve suppliers’ invoices issues and follow up on credit notes.

- Perform general record keeping and office duties

The purchasing trainee will be responsible for:

• Administrative work
• Suppliers panel management
• Launch of social audit and follow up on the corrective actions plans
• Some purchasing projects => Biddings, negotiations and awarding projects (under direct responsibility of the Purchasing Manager)
• Possibly some contracts settlement and negotiations (under direct responsibility of the Purchasing Manager)
• Prepare reports – Analysis

The purchasing portfolios (segments/families) covered will be depending on the workload at the given moments.

In parallel, he/she could possibly participate in the long-run strategic projects such as :

• Regional biddings on key items
• Sourcing

Value analysis studies

Job Scope:

• Handle full spectrum of Purchasing duties including inventory planning, sourcing, comparing and negotiating prices with suppliers, inventory analysis and planning, load stock orders and tracking delivery dates, processing of purchase documents and incoming goods
• Provide sales and purchasing support in terms of keying sales orders, preparing sales invoices and credit notes, ensuring paperwork is filed properly.
• Prepare monthly financial and operations reports and analysis.
• Process sales/purchase orders, tax invoices and coordinate on local deliveries and overseas shipments.
• Ensure proper housekeeping and filing of all necessary financial records.
• Ad hoc accounts monitoring and other duties as and when required.

Requirement:

• Diploma / Degree in Accounting / Business
• At least 2 years of experience in accounting
• Good understanding of local accounting standards and tax regulations
• Proficient with MS Office application and use of accounting software
• Good sense of responsibility and attentive to details
• Work under stress and tight deadlines
