Key Responsibilities

1. Compliance Monitoring & Reporting

• Assist in implementing and enforcing compliance policies and procedures to ensure alignment with regulatory requirements.
• Maintain compliance records: Organize and update documents, policies, and procedures in accessible formats.
• Conduct preliminary audits and support the audit process by gathering and reviewing necessary documentation, tracking findings, and coordinating corrective actions.
• Monitor regulatory updates: Research changes in regulations, prepare summaries, and communicate relevant updates to team members.
• Incident management: Track, document, and assist in investigating compliance incidents, following up as necessary to close out issues.

2. Risk Management

• Perform risk assessments: Identify potential compliance risks and propose actions to mitigate them.
• Support compliance testing to evaluate effectiveness of policies, controls, and compliance programs.
• Follow up on remediation actions: Ensure timely follow-up and completion of required actions to address identified risks.

3. Administrative Support

• Meeting coordination: Schedule and manage meetings, prepare agendas, and organize compliance training sessions.
• Document preparation: Create and format documents, presentations, and reports for internal and external stakeholders.
• Manage correspondence: Handle incoming and outgoing communications for the department, including emails, phone calls, and memos.
• File organization: Organize physical and digital files, ensuring data protection and easy retrieval as per company protocols.
• Order office supplies and manage inventory for the department, ensuring adequate resources are available for operations.

Requirements

Education & Experience

• Bachelor’s degree in Business Administration, Compliance, Finance, Law, or a related field (or equivalent experience).
• Experience: Minimum of 1-3 years in a compliance, administrative, or similar support role, ideally within a regulated industry (e.g., finance, healthcare).

Skills & Competencies

• Attention to Detail: Strong ability to identify and address discrepancies in documentation and processes.
• Organizational Skills: Excellent time-management and multitasking skills; able to manage multiple priorities.

Responsibilities:

• Prepare, review, and update Quality Management System (QMS) and Occupational Health and Safety Management System (OHSMS) manuals, procedures, and forms.
• Review and update organizational Quality Policy and objectives for Management’s approval.
• Review and update company Occupational Health & Safety Policy and objectives for Management’s approval.
• Interpret and implement quality assurance standards and procedures.
• Review the implementation and effectiveness of standards and procedures.
• Plan and conduct internal audits for ISO 9001:2015 and ISO 45001:2018 as scheduled in the annual work plan.
• Plan and conduct Management Review Meetings for ISO 9001:2015 and ISO 45001:2018.
• Manage 3rd party certification body audits for ISO 9001:2015, ISO 45001:2018, and BizSafe STAR.
• Coordinate with respective departments for the preparation of external audits.
• Follow up on post-audit activities.
• Manage Document Control for all QMS and OHSMS documents to ensure the latest revisions.
• Support various departments in reviewing and updating procedures, ensuring timely incorporation of changes and assisting in their assessment.
• Identify training needs and organize training interventions to meet quality standards.
• Conduct Factory Acceptance Tests (FAT), inspect workshop fabricated items, and conduct onboard completion inspections internally and externally.
• Prepare inspection reports on outcomes and update overall inspection status summary.
• Liaise with Clients and CLASS Surveyors for external inspections.
• Monitor and expedite closure of all company non-conformances.
• Create and review Risk Management Plans for projects.

Required Knowledge and Skills:

• Strong background in ISO 9001:2015 QMS and Safety standards.

RESPONSIBILITIES

• This position is for SMU Academy (SMUA).
• Analysis of training data and generating of reports for the purposes of audits
  • Collect and compile training data from various sources, including training sessions, participant evaluations, and SSG (SkillsFuture Singapore) survey feedback.
  • Analyse training data to identify trends, patterns, and areas for improvement in training delivery and effectiveness.
  • Generate comprehensive reports summarizing key findings and insights from the analysis of training data, ensuring accuracy and relevance for audit purposes.

  • Collation and screening of new course application data from our training teams as they create new programmes CET Learners.
  • Creation of course application drafts and facilitation of governance/approval/audit processes.
  • Payment and Submission of applications and monitoring of application status.
  • Facilitate edits made to course applications.
  • Facilitate the retirement of programmes that are obsolete.
  • Facilitate communication with SkillsFuture Singapore (SSG) to ensure that application processes are efficient, that queries are answered promptly to facilitate quick turn-around.
  • Maintaining the SMU Academy master list of programmes for internal processes; which would impact finance, reporting and audit processes.
• Trainer Screening and onboarding
  • Vetting/Screening of trainer onboarding documents.
  • Management of trainer supporting documents for the purpose of knowledge management (Curriculum Vitae, Professional Certificates).
  • Issuance of appointment letters (Official appointment letters with fixed durations, with option to renew in the future).
  • Creation/updating of training and enablement materials to be used to onboard our new/existing trainers to improve CET trainer teaching quality.
  • Conduct training visits to gather insights and feedback on training delivery, identifying areas for improvement and implementing corrective actions as needed.
• Preparation for SSG's new Training Partner Quality Assessment (TPQA)
  • Creation of processes to ensure the successful execution and conformance of SSG's TPQA.
  • Ensure required documentation and points of contact are defined and maintained.
• Supervising a team of student assistants
  • Supervise a team of 4 to 7 student assistants in handling course applications and grant management processes.
  • Ensure adherence to Singapore Management University's governance processes regarding the safety and security of personal data, including managing accesses to TPGateway and conducting checks on data security.
  • Schedule student assistant staffing to ensure adequate coverage for course application and grant management tasks.
  • Maintain updated work logs and ensure timely submission of reports.
  • Provide guidance and support to student assistants in completing their tasks effectively.
  • Foster a positive and collaborative work environment among the student assistant team.
  • Conduct regular performance evaluations and provide constructive feedback for improvement.
  • Collaborate with university staff and faculty as necessary to streamline processes and address any issues that arise.

• Efficiently manage end-to-end customer complaint processes, including acknowledgment, SAP system updates, continuous tracking, closure, and monthly summarization for reporting purposes.
• Conduct in-depth tracking of supplier quality through incoming inspections triggered by customer complaints or as required.
