Position Overview: The Sales Support cum Shipping Coordinator will play a crucial role in ensuring smooth sales operations and efficient shipping processes. This multifaceted role requires a proactive individual with excellent organizational, communication skills, shipping knowledge to support our sales team while managing shipping and logistics.

Key Responsibilities:

Sales Support & Shipping Coordination:

• Provide administrative support to the sales team, including preparing contracts, Shipping documents, and processing orders etc.
• Coordinate with clients to confirm order details, address issues, and ensure satisfaction.
• Maintain accurate sales records and assist in managing customer databases.
• Oversee the shipping process, including scheduling, tracking, and coordinating with supplier/buyer/carriers.
• Prepare shipping documentation, including invoices, packing lists etc.
• Ensure timely and accurate delivery of products, resolving any shipping-related issues promptly.
• Have experienced in L/C (Letter of Credit) transactions.
• Can speak Mandarin as need to communicate with China counterparties.
• Other ad hoc tasks as assigned by management.
• Guidance will be provided.

Qualifications:

• High school diploma or equivalent; associate’s degree or higher in business, logistics, or related field preferred.
• Proven experience in sales support, customer service, or shipping coordination.
• Strong organizational skills and attention to detail.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Ability to multitask and manage time effectively in a fast-paced environment.

• Coordinating the sales team by managing the filing of important documents, maintaining important data such as storing and sorting of sales function related data in electronic form, and communicating relevant information for smooth sales operations.

• Handle the processing of all sale orders and scheduling job code on ERP system with accuracy and timeliness.
• Monitor the team’s progress and identify shortcomings of administration process and propose improvements where necessary.

• Ensure adherence to internal workflow policy.

Job Responsibilities:

· Oversee and monitor inventory and fixed asset management

· Monitor manhours for audit purposes

· Creation of Item Code and input data in accounts system

· Evaluate AP &AR Aging reports monthly & coordinate with Sales on payment

· Aid in verification of staff claims, reimbursement, approval of Purchase Requisition and Advance Payment (APPV), Invoices and GST documentation

· Oversee contract and service management including renewal &/or termination

· Assist in implementation of staff appraisals, performance management, petty cash management & administrative duties

· Liaise between Management, employees and third-party providers

· Plan office layout and warehouse movement

· Supervise staff while administering safety awareness

· Perform Ad-hoc tasks when required

Job Requirements:

· Minimum diploma in any discipline

· Experience in Supply Chain, Finance, Process Management or equivalent

· Preferrable to have experience in SAP

· Good interpersonal and communication skills

· Possess good time management and organisational skills

Job Description

• Assist the team in planning, executing and managing marketing campaigns and access against goals (ROI and KPIs)
• Plan and gather tenants’ participation for joint collaborations event.
• Work closely with Leasing department in the lease renewal for concourse space, pushcart, and advertisement space.
• Assist in developing presence in social media platforms and integrate marketing events or promotion online.
