Purpose of the job

To provide support and assistance to the Directors, Senior Managers, Managers and the team so as to ensure an effective, efficient and the delivery of high quality services to a portfolio of clients and ensuring adherence with Ocorian policy and procedures.

Job Requirements

• Assist in providing full spectrum of corporate secretarial services to a portfolio of clients which includes public listed companies, public, private limited companies and offshore companies;
• Assist with incorporation of companies, registration of foreign entities, representative offices, limited liability partnerships, striking off companies, etc;
• Preparation of routine directors/shareholders’ resolutions, minutes of directors/shareholders’ meetings (annual general meetings and/or extraordinary general meetings) and any other ancillary documents;
• Assist with the preparation of documents relating to payment related matters of the clients;  
• Assist with the preparation of XBRL format of financial statements (where necessary);
• Ensure compliance with relevant statutory and regulatory requirements, perform client due diligence;
• Ensure proper and timely filing of statutory forms/returns with ACRA and e-stamping with IRAS;
• Assist in application of work passes with the Ministry of Manpower;
• Assist in arranging for notarisation, legalisation and authentication of documents with various Embassies (as and when required);
• Maintain and update company statutory records / statutory registers and such portal as required within the Ocorian Group
• Assist with timely billing and providing support for collection of debts within the portfolio as part of achieving financial objectives.
• Any other work as may be assigned from time to time.

The AVP Group Indirect and Capex Procurement acts as the executive for Food Group's indirect and Capex spends, collaborating with the FVP Procurement Director to formulate and execute the 3rd party Global Sourcing and risk management strategy for this category. Additionally, the AVP Indirect Procurement is responsible for strategic initiatives within an assigned portfolio of indirect sourcing categories which includes developing category strategies, identifying cost-saving opportunities, leading sourcing projects, negotiating with suppliers, and maintaining relationships.

Key responsibilities:

• Spearheading sourcing of a portfolio of indirect categories.
• Developing category strategies, including market and industry analysis.
• Establishing and maintaining supplier relationships.
• Facilitating periodic business reviews for process improvements and cost reduction.
• Building working relationships with internal groups like partner programs, regional offices, legal, finance, etc.
• Preparing analyses of spend data, category supplier bases, and cost models.
• Managing complex projects from conception through implementation, including change management.

Responsibilities:

• To prepare, maintain, communicate, and coordinate diverse commercial administration in support of all sales activities.
• Materials will include price lists, quotations, product specifications, datasheets, Technical Service Enquiries, sales master data, and other documentation as required by systems, companies, agents an customers
• Maintain, communicate and coordinate internal online ordering platform.
• Support and communicate closely with other departments, maintaining records of sales data and promotly assist customer enquiries. 
• Own the customer relationship for designated customers/territories including price setting within defined limits.
• Prepare commercial quotations in response to new customer enquiries. Informing customers of pricing and otl contractual conditions within agreed guidelines.
• Ensure compliance with agreed procedures and take the decision when to escalate issues for approval plan and prioritise daily workload within guidelines.
• Regular direct contacts with customers requiring appropriate commercial sensitivity and communication style of the customer relationship.
• Broad knowledge of systems & processes (e.g. ERP, CRM). Identify opportunities for efficiency improvement administrative systems

Requirement:

• Minimum Diploma in any relevant.
• Technologically savvy – proven experience as administrator of online ordering platform/ system, able to navigate backend settings and troubleshoot order variance.
• Experience working in MNC organizations and managing multiple stakeholders.
• Contract role for 1 year, subject to renewable and convertible to permanent.
