• Handle daily document transactions and services to customers (issue PO, Invoice, Daily sales report, etc.)
• Coordinate with finance team to proceed custom clearance and incoming tax payment. Manage on-time monthly closing in system.
• Confirm product availability with customers and coordinate with SCM team and warehouse in term of logistic and other related sales issue.
• Provide good customer service, attitude and communication including face to face, telephone and email.
• Support sales other duties as assigned. (service, stock available, product details, pricing and others.

Responsibilities

• Assist sales team with the preparation of all sales and tender related documents, costings and material submissions.
• Prepare sales quotations and proposals.
• Provide sales and administrative support to the Sales Team.
• Follow up with factories on document requirements and ensuring that all submissions are properly presented and submitted on time.

Requirements

• Minimum 1 or 2 years of experience in project management or sales support function.

• Diploma in Business management or Electrical engineering
• Knowledge in Lighting Simulation Software (Relux/Dialux EVO) will be an advantage.

Main Tasks

● Support the Operations Coordinator in the day-to-day duties such as:

○ Managing accurate entry and processing of all orders received

○ Planning and coordinating product delivery activities to ensure accurate and timely deliveries to customers

○ Manage customer order fulfillment and handling customers’ enquiries in a timely and professional manner

● Inventory management:

○ Ensure accuracy in stocktaking

○ Ensure proper replenishment of gift cards and other inventory for timely distribution to our partners and consumers

○ Preparation of stock reports for inventory review

● Work closely with merchants to ensure all product information such as pricing, description, product image, and inventory are up to date and available-to-sell

● Collaborate with internal teams (e.g. sales, marketing) to address customers’ issues

● Act as the point of contact for escalated issues from our clients as appropriate

● Provide support in any other administrative tasks in other department as required

Job Scope :

• Handle inbound email and phone enquiries

Order Processing:

• Process sales orders in the ERP based on the sales order received.
• Ensure that the customers’ orders are processed in time. Work closely with sales team to support the sales process from receiving order to delivery of goods to customers.

Customer service:

• Receive customers’ request, enquiries from phone calls, emails, face to face. Work with the operation team to provide information to address customers’ requests and enquiries. Gather and record customer feedbacks in CRM and provide solutions to ensure customer satisfaction.

Invoicing and delivery:

• Prepare delivery order, tax invoice and loaner form. Liaising with courier service and in-house courier to ensure timely delivery to customers. Sending delivery order and invoices to customers for collection.

Product Insurance:

• Support the process of product insurance in Singapore. Liaise with end users and Insurance company to process the insurance purchase/claims via the insurance portal.

Administrative tasks:

• Performs various administrative activities relating to processing orders, invoicing and data maintenance. Maintain proper documentation of the order processed for audit purposes.

• Min N / O / NITEC / Diploma in any courses
• Min 2 to 3 years of order processing / sales support exp
