We are seeking a highly organized, energetic, and proactive Associate/ Senior Associate to join our Corporate Administration team. The ideal candidate will provide comprehensive administrative support for the institute, as well as assisting the Corporate Admin group to ensure the smooth operations of the institute.

Key Responsibilities:

1. Office and Pantry Management:

a. Conduct daily walkabouts to check on office tidiness and cleanliness.

b. Ensure the office and pantry are well-stocked and organized.

c. Order and maintain inventory of office supplies and pantry items.

d. Coordinate with vendors and service providers for office maintenance and pantry supplies.

e. Ensuring tidiness of storerooms and maintenance of storeroom inventories.

f. Perform monthly fridge cleaning.

g. Perform weekly laundry collection and top-ups.

h. Assist with mail collection and courier services.

2. Onboarding/Offboarding

a. Conduct basic orientation briefings for new joiners and creation of onboarding video.

b. Prepare on/offboarding notifications to the relevant parties

c. Conduct the issuance and return of items relating to on/off boarding as well as the update of all relevant trackers

d. Ensure smooth flow of onboarding/offboarding processes and positive experience for staff.

3. Goods Receipt Officer:

a. Verify received goods against purchase orders and perform goods receipt in a timely manner.

b. Ensure proper documentation of goods receipt performed.

c. Coordinate with the requestor and procurement team to resolve any discrepancies.

4. Calendar Scheduling, Travel Arrangements and Booking:

a. Secondary support for ED, as well as covering officer for ED PA.

b. Manage and coordinate calendars for senior management.

c. Schedule meetings, appointments, and conference calls.

d. Resolve scheduling conflicts and ensure timely reminders.

e. Book flights, accommodations, transportation, and other travel-related services for work trips for senior management.

5. General Administrative Support:

a. Provide day-to-day administrative support for the institute.

b. Handle correspondence, prepare documents, and manage office communications.

c. Perform filing, data entry, and maintenance of office records and trackers.

d. Assist in coordination of meeting and venue bookings by internal and external parties.

e. Maintenance and updating of the SIFBI Intranet.

f. Assist in event logistics, setup of event venues, manage attendee lists, and any other required tasks to ensure a smooth flow of activities.

g. Any other administrative duties assigned.

Your Role

The Sales Administration Executive is responsible for developing and executing a smooth and efficient sales process. In your role, you will be supporting our local and overseas sales representatives with all relevant sales documentation throughout the process of closing deals. You will also be leading sales forecasting, and will be liaising with our internal teams through the various pre-sales and post-sales processes.

Responsibilities

• Oversee and ensure timely maintenance of all relevant sales reports and master lists (ie. customers’ sales transactions, payment and delivery tracking reports)
• Oversee daily sales order processing, ensuring accuracy and timeliness and maintaining effective communication with retailers regarding order specifications
• Ensure timely issuance of sales orders, deposit invoices, and payments within agreed payment schedules
• Working closely with customers to manage and expedite their Products & Order Quantities, timely issuance of Purchase Orders and monitoring of deliveries to meet their delivery time line targets
• Partner with sales representatives to understand the needs of local and overseas distributors and key accounts (B2B) and assist to refine sales processes to meet operational and analytical requests
• Oversee inventory management between our companies, handling requests from Singapore, and our regional offices (CN / UK / US)
• Work closely with Logistics to streamline product picking, packing, shipping, and on delivery schedules, and forecasting to meet internal and external requirements
• Support and execute product rollout plans by providing the team with weekly order updates & order projections
• Assist the team with all sales enquiries, from both local and overseas clients
• Update and maintain all products and customers’ information in company's central system
• Maintain strong working relationships within the sales team, and with Logistics, Customer Experience, Finance, and other cross-functional teams
• Work on streamlining and optimising the daily sales processes

Requirements

• Prior experience in a Sales Administration, Operations or Account Management role, preferably for a consumer product company selling direct to large, national retailers
• Knowledge about the toys / collectibles / figurines industry would be a plus
• Self-motivated, pragmatic and able to take ownership of assigned tasks
• Highly organised and effective time management skills

This position is responsible for Project Development and Facilities Management of the workplace (research and office), aligned with A*STAR?s strategic goals in research.

The job scope encompasses project development and manage project life-cycle from space/concept planning to building facilities which are of quality and incorporated smart features. Post project development, the job holder will take lead in contract management and ensuring A*STAR's facilities are managed in a safe and sustainable manner, and value-for-money.

KEY ACCOUNTABILITIES

• Formulate development strategies on space management, infrastructure planning, project development and management in ensuring optimal and sustainable design to facilitate world-class scientific research.
• Translate users' requirements to design brief & technical specifications, establish project budget for the procurement of consultancy services and construction contracts.
• Advise and evaluate the technical specifications to ensure sound engineering approach and / or technologies are exploited at reasonable cost.
• Oversee and control construction timeline to ensure that the projects are completed safely, on schedule, fulfill budget marksmanship and meets the specified (quality) standards.
• Manage project meetings between project team, users, consultants, contractors for effective execution of project milestones.
• Establish and define requirements for facilities maintenance, establish maintenance programs factoring environmental sustainability and cost effectiveness.
• Be a champion in leading green practices and promote sustainability in operations and maintenance of building & facilities.
• Implement and review maintenance engineering initiatives to achieve higher reliability, maintainability and serviceability.

JOB REQUIREMENT

Job Description

· Discharge the duties of a Workplace Safety and Health Officer (WSHO) in accordance to the Workplace Safety and Health (WSH) Act and the WSH (WSHO) Regulations.

· Develop/implement WSH management system and risk management plans pertaining to the research and general activities in the workplace.

· Develop/implement programmes to steer WSH culture, habits and norms of the organisation.

· Develop WSH training programmes and conduct safety trainings.

· Provide advice to Management with respect to changes in the Acts, Regulations, Codes of Practice and Standards, and make recommendations on any aspects of workplace safety & health and environment protection matters.

· Carry out WSH inspections and evaluate WSH non-compliance, unsafe work conditions and practices to identify WSH performance gaps.

· Facilitate the management of risk in the workplace, recommend, implement actions and review effectiveness of measures to improve WSH performance and control risks.

· Implement emergency preparedness and response plans and communicate plans to stakeholders.

· Conduct incidents investigations and make recommendations to address root cause of incidents.

· Act as the secretariat and facilitate the operations of the WSH committee.

· Work closely with cross-functional teams to integrate safety measures into operations and collaborate with external agencies when necessary.

Job Requirement

· Bachelor's Degree in Science, Engineering, Occupational Safety and Health, or related fields

· At least 7 years of proven experience in a similar WSH role.

· MOM registered Workplace Safety and Health Officer

· Extensive knowledge of Singapore's and International WSH Standards and Regulation.

· SCDF registered Fire Safety Manager, MOH certified Biosafety Coordinator will have an added advantage

· Self-driven, meticulous, analytical mindset with strong ability to multi-task

· Possess strong organisational and interpersonal skills

· Excellent oral and written communication skills
