Import Shipment Activities:
- Monitor shipment ETD & ETA dates and ensure receipt of shipping documents from suppliers.
- Liaise with suppliers regarding amendments/discrepancies during draft documentation checking and verification before requesting final documentation.
- Issue import work orders to forwarders and warehouses for import clearance and cargo receiving purposes.
- Coordinate with third-party warehouse providers to ensure timely clearance and unstuffing.
- Liaise with the Accounts Executive for documentation that needs to be sent to the bank.
- Coordinate with couriers for urgent cases of OBL submission from the bank to the carrier.
- Monitor and ensure receipt of unstuffing reports from third-party warehouse providers within working days after unstuffing.
- Check and ensure the accuracy of unstuffing reports. Report discrepancies, damage, and torn bags to the Manager for follow-up with suppliers.
- Ensure complete sets of shipping documents (signed COA & Work order, HC, Permit, damage photos if any) are available in SharePoint for each work order once posted in Navision.
- For CIF/CIP shipments, monitor damage quantities in unstuffing reports and submit insurance claims if they meet the criteria in the insurance policy.
- Submit claims to suppliers when necessary.
- Assist the Import Manager in updating reports.
- Cover duties of the Import Manager and other team members when required.
Transfer of Raw Material & Finished Products
- Issue Transfer Work Orders upon receiving information from the R&D team.
- Monitor and ensure claims for damaged bags during transfer are submitted to the insurance company.
- Ensure sample bags are transferred promptly for sampling after unstuffing.
- Ensure transfer activities are updated in Navision on time.
Requirement:
- Diploma or Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
- Minimum of 3 years of relevant experience in import shipping and logistics, preferably in a manufacturing or supply chain environment.
- Proficiency in Microsoft Office applications, particularly Excel.
- Experience with ERP systems such as Navision is highly desirable.
- Strong understanding of import/export regulations and customs procedures.
